Description
We’re looking for a highly organized, detail-driven Chief of Staff to support our CEO. This role is centered on providing day-to-day support, managing schedules, communications, and key initiatives, while acting as a trusted partner to help the CEO operate at their best. You’ll bring a proactive mindset, strong communication skills, and a natural ability to anticipate needs and solve problems before they arise. Discretion, adaptability, and a service-first approach are key to success in this role.
Responsibilities:
The Chief of Staff will also act as Executive and Personal Assistant to the CEO, Chairman of the Board. This person must be able to support and communicate effectively and professionally on behalf of Payam Zamani.
- Act as a trusted advisor to the CEO, providing critical analysis and recommendations on key business decisions.
- Drive operational efficiency by improving communication between the CEO and the leadership team, ensuring that key decisions are executed efficiently across the company.
- Support the CEO in balancing personal and professional commitments, managing both business-related and personal tasks to ensure seamless daily operations.
- Provide support for high-priority tasks and urgent matters, ensuring prompt attention to time-sensitive issues related to both business and personal needs of the CEO.
- Provide sophisticated partnership, calendar and expense management.
- Undertake special assignments/projects on a wide variety of issues as requested by the Chairman and CEO.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: screening voicemails and telephone; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; maintaining contact lists; making travel arrangements; and completing expense reports.
- Provides support in arranging finance/investor relation meetings including collation of speaking notes and/or briefing notes and handling logistics.
- Ensure documents, including SEC filings, submitted for CEO/CFO’s signature have been properly reviewed and approved by appropriate Executive Team members prior to signature.
- Follow corporate/earnings and board calendar closely to ensure Executives are prepared for upcoming events, subsequent media activities, etc.
- Arrange and handle all logistics for Board meetings and related events. Assist with creation of Board materials and correspondence.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO office, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
Qualifications: Candidate must meet the following qualifications:
- Strong customer service / Client relations skills
- Prior Executive Assistant or Chief of Staff experience supporting senior executives
- High school degree required
- Excellent verbal and written communication
- Proficient with current communication technology (MS Outlook, Chat applications, Salesforce, etc.)
- Experience interacting with and serving affluent clientele
- Knowledge of Inspirato’s business systems and processes is a plus
- Experience using Salesforce.com to manage a pipeline a plus
- Experience using DryFly and Wiki to research information pertaining to members, destinations and accommodations
Compensation – $95,000 -$135,000
We believe in building a compensation structure that reflects the comparable market pay rate for positions at companies similar in size, revenue generation and geographic location; in addition to individual factors including seniority, performance-based merit, education/training and experience related to scope of responsibilities.
Benefits – This position is eligible for a health and welfare benefits package including medical, dental & vision insurance.
Bonus: Eligible for the company’s bonus plan.
Paid Time Off: Accrues each pay period, totaling 15 days annually, plus nine paid holidays.
FAM Trip: After one year of employment, eligible for one three-to-four-night stay per calendar year in an Inspirato property, subject to availability and program terms.
