We need a kick a** Receptionist | Scheduler | Executive Asst.

The Role

Our ideal person for this job is personable, efficient, and task oriented. She/he/they is comfortable working independently (though also likes collaborating!), takes direction cheerfully, and exercises excellent judgment. Strong writing skills and personable phone communication is essential.

Our ideal candidate has extensive previous scheduling experience, has an efficient approach to tasks, and is excellent at initiating and maintaining systems. They will get personal satisfaction from a well-run office and schedule, moving projects forward and fully supporting the team – specifically enjoying organizing digital and physical filing systems, making sure clients have the info and cup of coffee they need, efficiently booking travel, clearly labeling file folders while upleveling the process, and the all important mastery of the color-coded calendar for the whole office. 

The right candidate will connect quickly and be personable with our clients while building trust and relationship. Ideally, this job would benefit from a person that is a I/C on the DISC profile.  We work independently as much as we collaborate – flexibility between both styles is essential.

Responsibilites:

  • Executive Support
    • Assist ARTiculate Executives with daily administrative duties:
      • Managing an active calendar of appointments. 
      • Research and/or book travel accommodation arrangements (air, ground, and lodging). 
      • Maintain detailed lists of tasks and follow-ups on behalf of the ARTiculate Executives
      • Prepare expense reports for the team after travel
  • Communication Management and Activation
    • Manage information flow in a timely and accurate manner (emails, phone calls, calendars (digital/physical)
    • Provide front line customer service and client communication (in person, phone, and via email)
    • Direct calls, messages, and mail to the appropriate recipients. 
    • Discern priority and sensitivity of information and share with executives/project manager.
  • Calendar and Time Management
    • Serve as “Master Scheduler” for the entire ARTiculate Team. Set appointments (1:1 coaching sessions, group gigs, phone calls, meetings, etc…)
    • Coordinate logistics, preparation, and information tracking for 1:1 coaching sessions, workshops and client group gigs
    • Provide clear and succinct direction in all calendar invitations
    • Keep well-informed of upcoming commitments and brief ARTiculate Team on daily and weekly schedules 
  • Travel Booking
    • Arrange complex and detailed travel plans
    • Determine travel needs for all upcoming trips
    • Ensure all flight and accommodation bookings are added to the calendar and the appropriate individual TripCase for the coaches
  • Office Management
    • Manage office organization and upkeep including general cleaning, storage organization
    • Oversee office supply stock and coordinate with COO/CFO to place orders
    • Join team with coffee, kitchen, plant watering, and office clean up duties
  • Administrative Tasks
    • Assist with personal scheduling, taking minutes in weekly meetings, setting up conference calls
    • Organize and maintain office records, training materials and equipment
    • Support other positions when and where needed

 

Requirements:

  • Proven experience as an Executive Assistant, Executive Administrative Assistant or similar role
  • Ability to think proactively and prioritize work
  • Excellent organizational skills
  • Self-awareness
  • Asks questions (we call it sunflowering)
  • Takes ownership of mistakes, debrief and move forward
  • Warm, friendly, patient, enjoys caring for others
  • No task is beneath you — we work as a team and all pitch in to get things done
  • Enjoys working in a fast-paced, close-knit, creative environment, with driven, fun, brilliant and impassioned individuals
  • Can hold their own without wrestling for status
  • Not easily triggered with an ability to empathize
  • Self-motivated in an environment that is challenging, demanding and will have long hours
  • Advanced computer/application competence with: Mac products, MS Office Suite, Google docs, Acuity, Asana, Slack, JotForm, Hubspot, Zoom, Calendly, etc. 

Ideal candidate is available:

8:45 am – 5 pm, M-F with a few exceptions throughout the year.

Compensation

Salary depending on experience starting at 45K.
