Reports to: Deputy Director

Class: Full-Time, Exempt

Starting Salary: $62,500-$65,000

 

Youth on Record is a Colorado-based nonprofit that integrates education and art as powerful tools toward liberation and equity. We were founded in 2008 to increase access to meaningful mentorship opportunities and high-quality economic opportunities for youth via anti-oppression music programming. Our approach is linked to increased graduation rates, academic success, and social/emotional learning skills. We’ve grown into a fast growing nonprofit with an operating budget of $2.3M reaching more than 2000 + students each year.

Essential Duties & Responsibilities:

  • Manage daily business operations including administration, vendor management, and facilities.

  • Point person for administrative vendors including office equipment, dues and subscriptions, benefits, insurances, and IT.

  • Maintain accurate and organized information in database and filing systems.

  • Manage A/R and A/P, including preparing deposits, invoices, and internal reports in coordination with accounting and finance consultants.

  • Manage HR systems and functions including new employee onboarding and open enrollment.

  • Administrative intake, including work agreements, fingerprinting, and reference and background checks, of new vendors, volunteers, and students.

  • Maintain a comfortable and organized workplace experience for staff, students, and volunteers.

  • Point person for facilities manager, initiating requests for service and maintenance related to HVAC, electricity and plumbing, snow removal, and internal and external security.

  • Coordinate hospitality functions including meeting space preparation, catering, and technology functionality.

  • Develop annual office supply budget and purchasing schedule.

  • Assist with internal communications, meeting minutes, and other administrative recordkeeping.

  • Calendar management and meeting scheduling for the executive team.

  • Travel coordination for staff and visiting artists and other collaborators.

  • Proactively manage problems and identify solutions.

Knowledge, Skills & Abilities:

Required:

  • 2 years professional experience independently managing business administration and daily operations.

  • Proficient in Office365, Google Drive, Asana, and CRM databases.

  • Proficient with accounting software functionality and digital payment platforms such as Bill.com.

  • Experience using project management tools for scheduling, calendaring, and time management

  • Proficient in accounts receivable and payable basics including deposit preparation, coding, reconciliation, and check and digital payment processing.

  • Proven track-record of project management and problem solving.

  • Excellent organizational skill including the ability to move quickly between tasks, set priorities, and meet deadlines.

  • Ability to work independently, be mentally flexible, and work well under pressure in a fast-paced team environment.

  • The person in this position needs to occasionally move about inside the office to access file cabinets, office equipment, etc.

  • Frequent operation of a computer and other office productivity machinery, such as copiers, the mail machine, and hospitality appliances.

  • The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.

  • The ability to observe details at close range (within a few feet of the observer).

 

Preferred:

  • Professional experience managing business administration and daily operations in a small business or entrepreneurial nonprofit environment.

  • Experience managing the relationship between the benefits broker and related vendors and staff members.

  • Experience using more complex project management software to illustrate the start and end dates of tasks, milestones, dependencies between tasks, and assignees.

  • Proficient in QuickBooks and Bill.com.

  • Experience working with DonorPerfect CRM (or something comparable).

  • Desktop publishing to create informal signage and notices.

Work Environment: YOR’s work is fast-paced, detail and deadline oriented. We are highly communicative, with a commitment to nonviolent communication practices and a trauma-informed approach to management. YOR is operating in a hybrid virtual and in-person schedule. In-person meetings and tasks will be completed based on the current needs of the organizations.
