The International Association for the Study of Lung Cancer (IASLC) is the premier international membership association for physicians, researchers, and medical professionals, who are dedicated to conquering lung and thoracic cancers globally.  We are seeking a Business Services Lead to provide office administration and operational efficiency to our Denver office.

Day to day, the Business Services Lead performs a variety of operational, technical, administrative, and general functions to ensure the efficient and productive operation of the IASLC office. Responsibilities include general office administration, implementing and coordinating operational improvements, providing technical support for office technologies, the development and delivery of resources and training for staff on office systems and procedures, and maintenance of standard office functions. This position will also document standard operating procedures, recommend process improvements, investigate, and resolve problems, and coordinate special projects or activities as needed.

This nonexempt, nonsupervisory position is based in our downtown Denver office on a hybrid work schedule and reports to the Chief Financial Officer.
 

In this role, you will:

  • Primary point person for staff questions or troubleshooting regarding office operations and coordination of vendor support or repairs.
  • Develop, implement, and train staff on administrative operating procedures for the office.
  • Manage vendor relationship for staff and Board travel with contracted travel agency.
  • Purchase office supplies and manage inventories in storage areas.
  • Oversee vendor relationship with external IT contractor to ensure timely service.
  • Provide technical troubleshooting and frontline support to meet the needs of internal users.
  • Serve as an in-house expert for staff in the use of designated software platforms for virtual meetings, scheduling, project management, and future systems.
  • Conduct training, prepare user guides, and coach staff on use of key systems.
  • Develop, implement,  and execute shipping processes and procedures for staff and member requests.
  • Manage fulfillment for Fonteva EStore and maintain publications webpage.
  • Coordinate all logistics for hybrid staff meetings and other internal meetings.
  • Coordinate and ensure smooth office operations and providing general administrative support for the office.
  • Supervise office equipment management, including inventories and replacement schedules.
     

A successful candidate will have the following qualifications:

  • Bachelor’s degree or higher
  • 2-3 years of work experience, previous office management or advanced administrative assistant experience preferred.
  • Advanced proficiency and experience in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat, Microsoft Teams, and Zoom.
  • Advanced proficiency in administering office systems and applications with demonstrated aptitude for quickly and efficiently learning and integrating new software into workflow.
  • Demonstrated skills in prioritizing, organization, time management, and project management with strong attention to detail.
  • Ability to communicate professionally and effectively with staff, members, vendors and third parties, both in person and in written communications.
  • Ability to work effectively in a fast-paced team environment while efficiently managing multiple priorities.
  • Ability to exercise professional discretion and manage sensitive or confidential information.

  • Compensation:  $27.00-30.00 per hour, depending on related experience and education.
