The opportunity:
NWC is in search of an experienced Coordinator of Sales and Event Management who will split time between the Sales and Event Management departments, lending sales and event management support of contracting, invoicing, event coverage including site tours and administrative tasks.  This role will also be handling some sales contracting and management for events as well.  Under the supervision of the Chief Operating Officer, the Coordinator will deal with data entry information and standard operating procedures, maintenance and updates, event contract management, and the liaison to marketing.

What you will do:
Sales / Event Management Coordination:

  • Correspondence, preparing reports, data entry, bookings of small and community and short-term events.
  • Work with Sales Manager to provide phone, voicemail, email communications of leads or established clients, responding to inquiries in a timely, clear, and pleasant manner.
  • Maintain client information, including leads, lost leads, re-booking events, contacts and any other records kept.
  • Set and work with team to prepare for Client Care meetings, review meeting notes, assist with pre/post invoicing, contracts, proposals, proformas, addendums as needed.
  • Coverage for prospective event client tours
  • Assist the events team to track client deposits, final payments, COI, W9 and other necessary event related documents.
  • Point of contact for any VIP client guest experience and Visit Denver or other organization’s tours. 
  • In charge of collecting all campus coordination event information and inputting in the campus schedule weekly to distribute weekly to all partners.  Prepare meeting updates for campus coordination meetings, board meetings and other requested sales and event management information.
  • Event management and sales liaison to marketing, updating any materials, assisting marketing with event marketing requests and website or other marketing mediums.
  • This position will have opportunities to do full event contracting and event management for assigned events.
  • Other duties may be assigned.

What you will bring along:

  • Bachelor’s degree in related field preferred or equivalent experience in sales and event management.
  • 1 – 2 years of client relationship management, event planning, administrative support experience. 
  • Arena, facility, Convention Visitor Bureau experience helpful.
  • Experience managing multiple calendars. 
  • Highly proficient with general office equipment, virtual and hybrid meeting technology, especially Zoom and Teams, Microsoft Office software, especially Outlook and PowerPoint.
  • Excellent oral and written communication skills.
  • Proven strategic mind, including the ability to see multiple outcomes, scenario plan, analyze potential opportunities and challenges, and navigate shifts in direction.
  • High EQ and interpersonal skills.

Work location and hours:
This position can be performed through a mix of on-site and remote work in Denver, Colorado.

Compensation range:
The starting salary is $65,000 – $72,000
