Salary Range:  $60,000 – $65,000 a year

Summary: The Colorado Women's Bar Association (CWBA) is accepting applications for a new full-time deputy director position providing administrative management of the association, providing general, membership, event planning, and marketing support. The Deputy Director will work closely with the Executive Director, Board of Directors, part-time administrative assistant, and contracted professionals. This person will help keep the operations of the association running smoothly, exercising discretion and independent judgment with respect to matters of significance.  In all work, volunteer leadership development and DEI should be strongly considered. Position reports to the Executive Director.  Position supervises, in limited capacity, Administrative and Membership Assistant. 

Primary Duties and Responsibilities:

Provide exceptional management and support for the CWBA’s membership goals.

  • Provide membership program support, outreach and recruitment of new association members, and engagement and retention strategies for existing members.
  • Provide customer service to and communication with members and prospective members, including interacting with members and prospective members to share the benefits of association membership and volunteerism.
  • Interact with members and prospective members through creative messaging and effective communication of membership benefits.
  • Attend and manage Membership Committee meetings and provide enhanced opportunities for committee member engagement.  
  • Manage, enhance, and prepare record-keeping for membership and fundraising databases, both online and electronic, including reports and distribution list updates and preparation on a daily and weekly basis.
  • Provide regular membership reports, including analysis of enrollment/renewals and trends in member feedback or questions; make recommendations on necessary changes to membership program.
  • Lead and coordinate annual membership renewal process.
  • Update and maintain accurate database profiles for both members and non-members in association management software. This may include multiple processes, i.e., exporting, importing, formatting, and testing for accuracy.
  • Identify opportunities to enhance member engagement and increase relationship-building efforts.

Provide general support as requested by Executive Director to the CWBA board and committees.

  • Attend committee and board meetings as designated, primarily Membership and Convention Committee meetings.
  • Assist with meeting, committee program and event planning, coordination, and implementation as the primary “go to” person.
  • Provide membership data to support ongoing activities and programming efforts.
  • Assist with monitoring all committee objectives and progress, and provide information and direction as needed to meet deadlines and achieve objectives.
  • Coordinate logistics for Board meetings and gatherings, including venue selection and communication, coordinating food and beverages, AV, materials, and other tasks as needed.
  • Manage event/program and Convention administration, budget, registration, and preparation details. 
  • Attend events and secure and manage on-site support and registration.
  • Obtain CLE credits for programs as needed, along with managing participation reports and distribution of accreditation affidavits and materials.
  • Coordinate, manage, and lead Zoom meetings.
  • Assist with the creation of event promotions collateral (event programs, registration forms, invitations, handouts, outreach brochures, sponsor posters, etc.) as needed.
  • Assist the Executive Director and event planning consultants (if applicable) with the planning of Annual Convention and attend Convention, along with preparation of all Convention collateral and logistics.
  • Assist the Executive Director with sponsorships and non-dues revenue cultivation.
  • Manage master calendar and website calendar of events

Assist the Executive Director with general office operations of the association.

  • Update website and blog with membership and event information as needed.
  • Assist with social media strategy and postings.
  • Maintain and coordinate review and updates of SOPs.
  • Manage job postings on website and listserv, ensuring legal compliance, particularly with the Colorado Equal Pay for Equal Work Act.
  • Follow up on outstanding event payments from members and vendor accounts payable items.
  • Assist with and manage a variety of short and long-term projects and day-to-day requests.
  • Identify opportunities to enhance member and board member experiences and opportunities.
  • Demonstrate strong members-first work ethic with the ability to serve the association, its volunteer leaders, and members with dedication and a desire to deliver exemplary service.
  • Develop, oversee, and implement project management tools.

Help ensure consistent, reliable quality of business administration, sponsorship/fundraising, and systems.

  • Maintain and update CWBA Sponsor databases with current event sponsors.
  • Manage outside vendor relations and orders (caterers, event venues, printing, etc.).
  • Keep informed of operational best practices for bar associations and nonprofits.

Knowledge, Skills, and Abilities Required:

  • A self-starter and team player, able to accept direction, yet work independently.
  • Must have 5-10 years of professional work experience in a program administration/event planning/customer service capacity.
  • Association and/or nonprofit volunteer management experience preferred.
  • Excellent prioritization, time management, and organizational skills.
  • Strong interpersonal skills and emotional intelligence.
  • Ability to represent the organization and our members in a highly competent and professional manner both internally and externally.
  • Exercise initiative to anticipate needs and to identify problems and solve them.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Ability to concentrate and pay close attention to detail for up to 80 percent of the work time.  Work occasionally requires a high level of mental effort and strain while prioritizing many tasks.
  • Ability to sit at a desk and work with documents and/on a computer for extended periods of time.
  • Ability to proofread typed material for contextual, grammatical, typographical, or spelling errors.
  • Effective interpersonal skills, including communicating in person, by e-mail, and by telephone.
  • Ability to follow instructions effectively from a diverse group of organization constituents and provide information with ordinary courtesy and tact.
  • Ability to work independently, from home.
  • Ability to work non-standard hours, including occasional evenings and weekends, as necessary to meet the needs of the organization.
  • Competently operate standard office equipment, such as computers, photocopiers, and fax machines.
  • Ability to travel to private and public buildings, locally and statewide, via private or public conveyance to attend and assist with meetings and events.
  • Ability to read, write, speak, and understand the English language at a level adequate to perform the duties of the position.
  • Ability to establish and maintain positive working relationships with supervisor, members, and outside vendors.
  • Proficiency with use of Microsoft Office, Google Suite, social media, Dropbox, and ability to use (and learn to use) cloud-based software programs like timesheet tracking software, Constant Contact, Canva, TeamUp, Survey Monkey, Zoom, Adobe Photoshop, and other CRM programs.

Working Conditions:

This position predominantly involves sedentary work in a home office environment; however, the Director also will be required to travel to private and public buildings, locally and statewide, via private or public conveyance to attend and assist with meetings and events. The person must also be located in the Denver metro area. 

  • Use of sensory activities such as talking, seeing, and hearing, will be required frequently.
  • Ability to prioritize and complete multiple, sometimes shifting assignments without close supervision.
  • Work may involve periods of high stress.

Hours and Compensation:

This is a full-time, home-office, exempt position (administrative), primarily Monday through Friday, 40-50 hours per week. Starting pay is $60,000 – $65,000 a year. Position is available immediately.
