Salary for Announcement

The anticipated hiring range for this role is $41,200 – $51,500. The full salary range for this position is $41,200 – $61,800. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Engagement Associate is an essential member of the Alumni Relations and Giving (ARG) team within University Advancement, providing administrative support for all staff and programs facilitated by the team. The Associate reports directly to the Assistant Vice President for Strategic Engagement and is responsible for developing, organizing, and implementing administrative systems and processes, managing data input and integrity, and providing customer service and product fulfillment.


50% Administrative Support

–       Manage the Alumni Relations and Annual Giving email and phone accounts

–       Manages the ARG’s rentals including golf carts and event rentals 

–       Manage ARG’s inventory and purchasing for giveaways, supplies and other items as needed

–       Support staff, program and room scheduling 

–       Provide support for Alumni Association Board meetings including logistics, meeting minutes and coordination of scheduling

–       Support credit card reconciliation for ARG staff

–       Serve as the liaison to University Advancement for ARG procurement and purchasing 

20% Data Support

–       Update constituent records in Raiser’s Edge including bio updates, attributes and contact reports

–       Input event participation information in Raiser’s Edge

–       Input volunteer participation information in Raiser’s Edge 

–       Work with FAST team to generate and distribute regular reports

20% Fulfillment 

–       Oversee all product fulfillment processes and efforts, including ordering and mailing for alumni and annual giving programs

–       Fulfill requests for alumni programming such as LinkedIn Learning, Career Link and online mentoring programs

–       Create and send donor recognition communications for specific giving segments (first-time donor, repeat runner, etc…)

–       Facilitate distribution of solicitation and acknowledgement mailings as needed

10% Other Duties as Assigned

–       Provide event support as needed

–       Support student staff

–       Perform website updates as needed

Required Qualifications

1. Associate’s degree from an accredited institution of higher education, or the equivalent combination of education and experience providing administrative support is required (one year of education is equal to two years of experience) 
2. One or more years direct experience working in administrative support position(s) 
3. Strong organizational skills, ability develop efficient and effective systems, and ability to meet deadlines in a fast-paced environment 
4. Self-starter and solutions-oriented 
5. Excellent customer service, people and communication skills 
6. Intermediate skills in Microsoft Office programs (Word, Excel, Outlook and PowerPoint)

Preferred Qualifications

1. Experience working in an alumni relations office
2. Experience with Raiser’s Edge database system or other CRM
3. Experience working in an Word Press or other CMS system

5. Experience working with diverse, urban populations, including but not limited to students of color and other under-represented groups
