For over forty years, Rocky Mountain Independent Electrical Contractors, Inc. (IECRM) has been the leading electrical and renewable energy contractor association in Colorado and Wyoming. IECRM serves more than 250 member companies in the residential, commercial, industrial, solar, and renewable energy industry and educates more than 3100 electrical apprentices and licensed electricians annually. Dedicated to educating, promoting, and advancing the electrical industry, IECRM is the largest apprenticeship training program among more than 50 chapters of the Washington DC-based IEC National Association in the United States. IECRM is a nonprofit organization with its main campus located in Northglenn, Colorado.

IECRM’s mission is to promote viable, sustainable, free-market business opportunities by providing vital industry support and leading educational programs for hundreds of independent contractors and affiliate companies across the Rocky Mountain region. IECRM is focused on elevating the quality of the workforce within Colorado and Wyoming through its comprehensive continuing education curriculum and training the next-generation electrician. Our customers are electrical contracting companies, licensed electricians seeking continuing education, businesses that provide products and services to the industry, and students enrolled in our apprenticeship training program.

About the Role:

The Event Manager is a full-time position responsible for planning and executing events from conception to clean up, including creating production schedules, developing programming, site mapping, managing event budgets, technical arrangements, and coordinating vendors. This role will manage all logistics, including venue selection, food and beverage, staff, volunteers, decor, parking, rentals, and more. This position will organize the final details of events to ensure every element is in place before guests arrive – communicating effectively with staff, volunteers, and partners so everyone understands how to do their jobs effectively throughout the event.

Under the supervision of the Development Director, this position will manage and execute current and new strategies, tasks, processes, operations, and administration for events. This person will demonstrate a continuous effort to improve and upgrade event operations, streamline work processes, and work collaboratively to provide excellent service while maintaining a high level of integrity, creativity, and innovation. This person will develop effective event planning budgets and timelines, ensure all deadlines are met, address potential problems that may arise, and lead efforts for executing pre and post-event communications.

At IECRM, we are a highly collaborative team, proudly producing fun and important annual member events. Events will include but are not limited to elegant galas, parties, expos, competitions, graduation ceremonies, outdoor sporting events, happy hours, forums, and luncheons. All events are centered around industry networking and engagement.

Essential Duties/Responsibilities:

-Lead the design, plan, implementation, and execution of a strategic event plan
-Upgrade and implement systems and processes that will achieve goals and ensure successful outcomes
-Successfully manage events from conception to clean up, including creating production schedules, site mapping, event budgets, technical arrangements, and vendors
-Research and select venues and vendors, attending site visits as needed.
-Negotiate and choose the best combination of quality and cost to achieve the most favorable terms
-Manage all logistics, including catering, decor, rentals, personnel, parking, AV needs, and any other event details
-Develop and manage timelines, plans, and checklists for events while considering budget and time constraints
-In collaboration with the Development Director, coordinate with secured sponsors to achieve stated goals and assist with their needs
-Create event content and communications utilizing the Events Module of the database to ensure consistency with overall event messaging, project planning, and execution
-Collaborate with the Marketing team to ensure delivery of event marketing and sponsor recognition
-Document processes and information using the database Events Module for event continuity and consistency
-Oversee attendee registration processes, including online ticketing, check-in, nametags, and ticket issue resolution
-Track and maintain attendee data, financial reports, and corporate sponsors in the database
-Track revenue and expense actuals against the planned budget and reconcile all financials with accounting colleagues
-Conduct post-event debriefs and reports. Evaluate event success and areas for improvement and follow up accordingly
-Serve as point person for internal and external partners on all events and meetings. Ensure all elements are in place before guests arrive. Troubleshoot and resolve any issues that may arise. Manage set-up, tear-down, and clean-up
-Maintain calendars for all building usage by Members and Partners. Provide necessary documentation to members for building access
-Assist with AV and digital presentations during event planning and execution
-Serve as staff representative on IECRM Events Committee. Create agendas for and efficiently lead task force meetings related to event logistics
-Communicate event plans and utilize team members appropriately, schedule staff and volunteers, and provide training
-Lead in-house room setup, including scheduling, signage, A/V, and support logistics
-Share organizational responsibility for customer service excellence and success

Skills & Qualifications
-2+ years experience in successful event management and/or coordination and promotion
-Experience with CRM/ relational database records management or support
-Able to handle stress, problem-solve under pressure, and maintain composure and grace
-A self-starter who can effectively plan and execute successful and creative fundraising, networking, and recognition events, from concept through post-event evaluation
-A multi-tasker who can manage multiple priorities simultaneously and meet deadlines
-A dynamic, self-confident, outgoing personality who can work collaboratively, communicate effectively, and foster positive relationships
-Ability to work independently and as part of a team through communication, cooperation, & information sharing
-Strong aptitude with Google Suite, Microsoft Office Suite, and Adobe Acrobat. -Solid spreadsheet skills are required. Experience using video streaming platforms is a plus
-Proven organizational and time management skills in an events capacity
-Detail-oriented and highly organized, with an efficient approach to managing events
-Experience operating within an income and expense budget
-Ability to anticipate guest needs and expectations
-High degree of skill in logistics with a strong sense of aesthetics
-Ability to professionally supervise and manage event volunteers and vendors
-Demonstrated ability to be creative and flexible
-Impeccable writing and editing skills with excellent command of grammar
-Outstanding verbal communication skills and negotiation ability (to both internal and external audiences)
-Must consistently present a positive, professional attitude and appearance
-Ability to display a non-judgmental, objective attitude toward coworkers, students, and members
-Prior exposure to educational, nonprofit, or association business is a plus
-Proven ability to maintain confidentiality
-Neat, dependable, on time, and prepared
-High comfort level working with members, sponsors, students, and the public
-Comfortable working on-site at events (Denver metro area) and in our Northglenn and Ft. Collins locations
-Must possess reliable personal transportation

Physical Activities:
Must have auditory, visual, and physical skills to be able to perform tasks as outlined in this job description.
Mobility in a variety of office and event settings is required
Ability to regularly lift and move up to 25 lbs to shoulder height as it relates to event preparation

Position reports to: Development Director
Salary range: $52,000.00-$70,000.00 a year
Posting timeframe: The hiring process is expected to last from 5/2/24 until approximately 5/21/24.

IECRM offers a comprehensive benefits package, including medical, dental, vision coverage, retirement savings, short-term disability, life insurance, wellness reimbursement, and paid time off. All employees are required to have certain levels of auto insurance coverage. This is a full-time role. Typical hours are 9:00 a.m. – 5:00 p.m. Monday – Friday with occasional evening and weekend hours to support training, member, or community events.
