Position Summary

The Office Administrator ensures the day-to-day operation of the Center for Teaching, Learning and Design (CTLD) and supports the Director and senior staff of the CTLD. They are responsible for organizing and coordinating office operations and procedures, routine maintenance and updating of the CTLD website, monitoring the CTLD budget, and providing excellent customer service to all faculty, staff, students, and visitors.

Duties/Responsibilities

20% – Phone and Inbox Management
• Manages and coordinates the general CTLD communication channels, including fielding phone calls, emails, appointments and walk-ins.
• Directs requests to the appropriate people and groups using detailed knowledge of the roles of different parts of the university, including those that the CTLD often works with or that we are sometimes confused with.

20% – Website Management
• Improve, update, and manage the CTLD website, with attention focused primarily on the parts outside of the distinct groups (such as the Instructional Accessibility Group, Instructional Design Group, etc.).
• Collaborate with CTLD staff to decide on design elements, site structure and content.
• Process monthly website reports, editing and updating where necessary.

20% – Office and Event Management
• Maintains office services by organizing office operations and procedures.
• Updates policies, procedures, department ORG charts, and contact lists.
• Handled paperwork for new hires, employee access and other personnel matters.
• Plans, implements, and provides support for CTLD events.

20% – Support to the Director
• Serves as support staff for a variety of meetings. Requests agenda items for meetings, takes minutes, develops action items for follow-up, finalizes material and schedules presentations as appropriate.
• Manages outbound and inbound correspondence. May require mail merge and database familiarity.
• Coordinates logistics for the Director as assigned, including scheduling appointments, ensuring events are well-coordinated, meal reservations are made at appropriate locations and times, etc.
• Coordinates with Fiscal Manager regarding all reimbursement and fiscal expenditures for the Director.

10% – Budget, Procurement and Purchasing
• Responsible for purchasing in compliance with institution, state, federal fiscal rules.
• Monitors the office budget, reconciles orders, invoices, and monthly financial record statements.
• Prepares purchase requisitions and special purchase orders according to MSU Denver and AHEC regulations.
• Prepares travel forms and makes travel arrangements for staff and faculty when necessary.
• Maintains confidentiality of personal information.
• Supports fiscal projects and works with spreadsheets as needed.

10% – Other duties as assigned

Required Qualifications

• Experience as an administrative assistant or working in an office setting.
• Experience using modern office software and other productivity tools.
• Experience with professional communication.

Preferred Qualifications

• Experience in an institution of higher education.
• Demonstrated ability to gain working knowledge of a wide range of technology. Some examples relevant to MSU Denver include: Web browsers, OneDrive, Chrome River, Slack, Teams, Skype, Qualtrics, SharePoint, Google Forms, Google Sheets, Trumba, TerminalFour, Zoom, People Admin, YuJa, Canvas.
• Experience directing support requests to appropriate resources.
• Work experience in an office comparable to a Director level.
• Ability to work independently, handle matters confidentially, solve problems, and make decisions appropriate to the position.
• Must be detail-oriented, organized, and able to manage multiple tasks at one time.
• Must be able to interact positively with a wide range of people within the university and with external audiences.
