Position Summary           
We are seeking a highly organized and proactive office administrator to manage daily operations in our office as well as performing vital accounting functions.   As office administrator, responsible for performing administrative activities which create an inviting and efficient workspace. In accounting assistant role, responsible for supporting the EVP of Finance by performing a variety of accounting processes.

Primary Duties

Building and Office Management:

  • Oversee and coordinate office operations, ensuring seamless in-person and remote workflows.
    • Serve as liaison to vendors, including contract management, outsourcing some building maintenance scheduling of cleaning company.
    • Serve as liaison with outside IT consultants.
  • Ensure adequate office supplies are stocked, and equipment is running smoothly. Set up meeting rooms for monthly Board and Committee meetings (room, IT help, and taking meeting minutes if needed).
  • Phone and reception duties.

Accounting:

  • Administer the Accounts Payable process, including routing invoices for approval, coding, and reviewing prior to entering for payment.
  • Collect and code company credit card statements.
  • Assist EVP of Finance with monthly financial report preparation.
  • Backup for posting credit card cash and check receipts to appropriate system.
  • Make bank deposits.
  • Assist with accounts receivable invoicing and accounts receivable follow-up.
  • Assist the Colorado Restaurant Foundation staff with monthly grant invoices and reconciliation.

Other Duties:

  •  Develop and implement procedures and systems to improve office administrative efficiency.
  • Occasionally assist CEO by prioritizing mail, communicating with board and members, coordinating travel, and more.
  • Sort incoming mail.
  • Assist as needed at association and foundation events.
  • Other duties as assigned.

Contact with Others

  • Frequent interaction with association staff, board, members, and outside vendors.

Essential Knowledge, Skills & Experience

  • Proven experience in office administration. Experience with managing a commercial office building preferred.
  • Solid understanding of basic accounting principles and accounts payable processes required.
  • Proficiency in office equipment and software, including Outlook, Excel, Word, and Adobe.
  • Experience with QuickBooks online accounting software and member/customer database highly desired
  • Associate’s degree in accounting, business or related field or equivalent experience
  • Exceptional organizational skills and ability to manage multiple priorities effectively.
  • Self-directed, detailed, results-oriented work style with ability to work in close harmony with others
