Position: Operations & Finance Assistant (OFA)

Reports to: Director, People & Operations (DPO)

Location: Denver CRC Office

Salary Range: $17-19/hour, approx. 30 hrs/wk

Position Overview:

The part-time Operations & Finance Assistant (OFA) supports internal infrastructure to keep the organization running smoothly and efficiently. In addition to supporting finance and operations at CRC, the OFA is expected to exemplify CRC’s core values and advocate on behalf of our organizational mission. This position reports to the Director, People and Operations.

Responsibilities:

Office Support

  • Maintain and manage CRC’s main calendar and shared email accounts to support the coordination of organization-wide operations
  • Manage office technology, including assisting staff with troubleshooting and routine maintenance
  • Maintain contracts and communicate with CRC vendors and contractors, including updating and renewing contracts and maintaining technology vendor relationships
  • Timesheet collection and data entry, payroll preparation
  • Assist in recruiting CRC staff members, volunteers, and interns
  • Manage onboarding of new staff and VISTA members, including training on office policies and procedures
  • Manage benefits and insurance administration
  • Purchase and monitor office supplies
  • Serve as a Salesforce administrator; complete routine database maintenance, data entry, and assist with database development
  • Assist with the development of standard operating procedures
  • Monitor and compile dashboards, including management of the program update process
  • Monitor all business registrations, including maintaining accurate filings with the Secretary of State, as well as organizational subscriptions, memberships, and services
  • Support constituents using the Colorado Collaborative for Nonprofits Training Center

 

Finance Support

  • Maintain proper filing of organizational, financial, and AmeriCorps VISTA-related documents to ensure compliance with all VISTA program requirements
  • Manage relationship with third party bookkeeper to ensure accurate accounting Process check requests; mail checks
  • Create and send invoices; follow up as required on outstanding payments

Performance Indicators:

The OFA will work with the DPO to develop clear and specific metrics for success in this role. These metrics will be clearly outlined within 30 days of the OFA’s onboarding and will be integrated into all annual and interim performance evaluations. While exact metrics will be outlined in a separate document, performance will be measured in a number of key areas, including but not limited to:

  • Understanding of CRC operational and financial procedures
  • Effectiveness of communication with internal and external partners
  • Staff satisfaction with operational and finance support

 

Qualifications:

  • 1-3 years of relevant experience, or an equivalent combination of education and experience is required
  • Strong organizational and customer service skills with proven high attention to detail
  • Experience with accounting software (preferably QuickBooks) and/or a CRM database (preferably Salesforce) is desired
  • Excellent professionalism and judgement
  • Track record of discretion and reliability and ability to handle confidential information appropriately
  • Financial management experience and understanding of basic accounting principles is desired
  • Computer literate and tech savvy including strong command of Microsoft Office suite, especially Microsoft Excel
  • Adaptable to changes in the work environment, manages competing demands and is able to deal positively with frequent change, delays or unexpected events
  • Willingness to work cooperatively as part of a team; collaborative and positive attitude
  • Ability to pass a background check in order to contribute to federal grant-funded projects
  • Access to reliable transportation
