The Department of Medicine has an opening for a full-time, University Staff (unclassified) Communications Program Manager position.

Nature of Work:

This position serves as the department’s communications manager.  This position will collaborate with the Chair, department and division leadership, and the campus institutional offices of communication. The Manager is responsible for leading and directing all aspects of communication and marketing for the DOM to include internal and external communications, media relations, and marketing efforts for the Department.  This position works closely with the Department’s vice chairs, division leadership, faculty, and others in support of the teaching, research, clinical and community missions of the DOM and the university, as well as represent the Department in all communication matters on campus and committees.

 

Jobs in this career family involve development, marketing and management of messaging to both internal and external parties. Functions include marketing; advertising; communications; publications; brand management; writing; editing; proofreading; graphic design; web information architecture, development and design; web content development; electronic communications; social media; news media/relations; public relations; photography; videography; radio/television broadcasting; FCC compliance; and communication projects management.

 

Program Managers are responsible for the day-to-day operation of a program, function or work unit, including the development and implementation of processes consistent with college, school or departmental strategies and processes.  These positions typically do not supervise others.

 

Supervision Received: This position reports directly to the Executive Vice-Chair for the Department of Medicine. Must be able to work to a high level with minimal supervision.

 

Supervision Exercised: Initially none, though may change depending on need.

 

Examples of Work Performed:

 
Communication:
  • Manage the Chair’s executive communication needs including briefings, presentation development, and internal communiqués.
  • Serve as editor of and writer for the bi-monthly DOM newsletter, DOM Annual Report, write press releases, articles, brochures, content for social media and other forms of electronic media.
  • Creation of videos for use in communication and DOM website.
  • Responsible for Department web content management including authoring, updating, website migration, collaboration and administration.  Management includes enabling and monitoring the output of multiple author editing and participation.
  • In collaboration with the University Office of Communications, define the DOM’s strategic communication plan to increase awareness of and support for the Department, its mission and programs.
  • Ensure that all external communication reflecting the Department is presented in a consistent and compelling format.
  • Ensure positive and proactive public and media coverage of the Department and its programs, including responsibility for developing news releases, media advisories, and public relations strategies.
  • Advise Division operations to support dissemination of compliant, friendly, and accurate communications to faculty, volunteer faculty, part-time faculty, staff, students, and residents. 
  • Monitor unified DOM brand, and provide key messaging, print collateral, web, social media, and communications oversight. 
  • Manage, design, and monitor DOM website to engage target audience.
  • Ability to create and design effective and unique webpages to engage potential students, faculty and patients, and to ensure dissemination of accurate and up-to-date information to current faculty, students, and staff.
  • Track website traffic, newsletter readership and social media properties to gauge efficacy for communication efforts. 
  • Manage external publications, including establishing editorial and design plan for annual report.
  • Advise the Chair and leadership on matters of internal and crisis communication and management.
  • Increase awareness of and engagement with the DOM’s identity among primary constituency groups, including faculty, staff, students, alumni, patients etc.
  • Respond to department communication needs in a timely manner.

External Relations:

  • In collaboration with the office of advancement, support the DOM’s strategic development plan including messaging for cultivation, solicitation, and stewardship of philanthropic support provided to the Department and its program.
  • Ensure that effective and compelling case statements and development plans reflect the DOM’s philanthropic priorities and needs.
  • Manage DOM’s involvement in institutional alumni and annual programs including communication, event management, and annual giving solicitation, as needed.
  • Participate in special events including communication and marketing plans, sponsorships opportunities and constituent relations.
  • Increase support and awareness of philanthropic opportunities among internal constituency groups including faculty, staff, students, etc.
  • Build bridges with University Advancement, DOM partner / affiliate organizations and community-focused groups.

Administration and Service:

  • Serve as a point of contact for faculty, staff and students requiring access to marketing, communication and other external affairs resources.
  • Manage the DOM’s communication and marketing budgets.
  • Represent the Chair on institutional committees, taskforces and workgroups, in the areas of marketing and communication.
  • Serve on Department-level committees, taskforces and workgroups, particularly in the areas of advancement and communication.

Salary and Benefits:

The hiring salary for this position has been established at $57,998 – $84,097 and is commensurate with skills and experience. This position is not eligible for overtime compensation.

Qualifications

 

Minimum Qualifications:
  • Bachelor’s degree in communications, social sciences, marketing, public health or related disciplines from an accredited institution.
  • Five (5) years of extensive, diverse and progressively responsible marketing/communications/PR experience.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis, but not for the specific experience.

 
Preferred Qualifications:
  • A Master’s degree in marketing, marketing, public relations, communications, business administration, business, or a directly related field from an accredited institution.
  • Experience working in a healthcare organization and a higher education setting.
  • Experience in social media and web content management systems.
