Job Purpose:  Provide program support by performing administrative, event support and financial/operational duties as well as answering phones and emails, meeting scheduling and volunteer coordination. Handles the expenses and budgets for the Constituent and Alumni Relations teams. Reports to the Director, Constituent Relations.

Duties:

  • Create and execute meetings, events and donor gifts that help to advance strategic fundraising objectives, in close collaboration with Constituent Relations team.
  • Organize the logistics and participate in the execution of constituent engagement opportunities
  • Coordinate event and meeting logistics and ensure all vendors, materials and staff are aligned with project management plans
  • Coordinate vendors for catering, event décor, audio-visual, event-related design and printing projects, entertainment, etc., working within established event budgets
  • Utilize Advance database to track projected event attendance, and manage event mailing lists
  • In conjunction with Marketing and Communications, create event-related print and online communications pieces as needed
  • Organize CSMF staff members, students, volunteers, speakers, entertainers and vendors in the planning and execution of events
  • Develop special stewardship projects and personalized experiences and activities, in collaboration with the Constituent Relations team,  to cultivate and steward donors
  • Conceptualize, procure, track and maintain inventory of premiums
  • Manage student workers 

Financial/Operational Duties

  • Submit check requests and track expenditures for the Constituent and Alumni Relations budgets in accordance with company policies and budgetary restrictions; track departmental budget
  • Accounts receivable:  Prepare invoices for shared events with University and facilitate payment
  • Assist with validation of vendors and W-9s
  • Prepare budget reports for the board meetings
  • Prepare & process travel reimbursement requests/reports
  • Handle Job Center administrative duties including resume forwarding
  • Contribute to team efforts by accomplishing related tasks and special projects as requested

Skills/Qualifications:

  • Bachelor's Degree in related field from an accredited college or university or equivalent experience
  • Possess at least two to three years of experience in event planning and management as well as experience in the financially related aspects of  events including budgets and expenditures
  • Proficiency with Microsoft Suite, specifically PowerPoint and Excel
  • Possess current knowledge of the events industry
  • Ability to promote effective working relationships (both within and outside the organization) to accomplish objectives and build team support
  • Excellent customer service skills; sets high standards and seeks way to improve service
  •  Good communication skills both in writing and speaking effectively
  • Ability to work independently with strong attention to detail
  • Ability to interpret and translate procedures and guidelines to resolve problems
  • Ability to prioritize and manage multiple  projects and meet frequent deadlines
