Description

RMI is seeking a self-motivated and detail-oriented candidate with exceptional organizational, data and communication skills to be responsible for the quality and integrity of our donor data for the RMI Development team. This individual is responsible for processing and acknowledging all of RMI’s gifts and grant payments and ensuring cleanliness and accuracy of gift and donor data in our Salesforce database. In addition, this individual will provide outstanding acknowledgment, stewardship, and customer service to RMI’s donors, use and develop reports to support data quality and management, and oversee the procurement process for the Development team. The ideal candidate can manage competing priorities with a can-do attitude and maintain a pleasant and professional demeanor under pressure. The person must have a proven track record handling sensitive information.

Location: Boulder, CO-Hybrid (1 day on-site 4 days remote).

Key Responsibilities:

Gift Processing and Acknowledgment:

• Gift Processing – Process pledges, gifts, pledge-receivables, and grant payments, including accurate and timely data entry and document upload in Salesforce. Oversee batch approvals.  This requires knowledge of all types of giving vehicles including institutional foundations, corporate foundations, government and multilateral entities, family foundations and donor-advised funds, using discretion to apply the payment to the proper entities.
• Build out gift processing procedures and continue to evolve them as new features and upgrades make new efficiencies possible
• Deliver high quality support to the team with real-time communication to Relationship Managers when we receive payments or new information from donors
• In conjunction with Finance colleagues, complete regular reconciliations to ensure all donations are accurately accounted for, allocated, and reported
• Collaborate with finance colleagues to ensure compliance with all relevant regulations and laws, maintain accountability standards to donors, and ensure confidentiality and compliance
• Process and send acknowledgment letters, year-end gift statements and other donor communications (via mail or email) in a timely manner, using independent judgment to determine what level of personalized donor stewardship should be applied.
• Donor Data Management – update donor records from available information through research, donor communication, including returned mail and online communications.  All gifts are properly attributed to the donor with updated contact info if provided, or independently researched if no info was provided.
• Identify improvements and efficiencies to the gift processing and acknowledgment flow using technical skills and knowledge of the possibilities within Salesforce, Apsana, Classy etc., while maintaining excellence in donor experience
• Identify prospects to strategically qualify by running new or updated Donor Search profiles weekly and independently validate potential gifts in Donor Search for donors with 5-figure potential, weekly.

Procurement Oversight for the Development Team:

• Submit all requests to Procurement for new suppliers on behalf of the team.
• Oversee new contracts from creation to approval and PO creation, independently determining which contract template to use
• Prepare contract renewals well in advance of expiration date or NTE amount reached.
• Submit all invoices for the Development team in time to be approved and paid by the due date.

Data Quality and Database Services:

• Be committed to outstanding data quality in our Salesforce database.
• Become an expert Salesforce user and create Salesforce reports and list views, build dashboards, and manage opportunities, revenue and cash flow. Understand the complex differences between grant amount, GAAP revenue, operating revenue, payments and cash flow.
• Identify upcoming and past revenue and cash flow that might need to be corrected by the first week of each month.
• Maintain and improve all donor data, contact information and more in Salesforce database, using discretion to put more time researching higher priority and higher potential donors
• Determine and create the most efficient channel (grid, list view, report) to manage various fundraising, campaign, gift acknowledgment, and donor recognition programs. 
Create and use advanced filtering and independent research to uncover accounts that must be merged and leads to convert.

Donor Communications:

• Oversee and respond to inbound inquiries (phone/email) from donors and prospects (or route to the Relationship Manager) within one business day and route program-related inquiries to the appropriate team. This requires a solid understanding of RMI’s programmatic work.
• Follow up with donors regarding gifts as needed with excellent customer service and communication skills.
• Support the team with projects such as mailing materials to donors or distributing holiday cards to Relationship Managers.

Data and Event Projects:

• Assist with the management of our event invitees and registrants, including research for critical pieces of data where missing
• Update contacts to the appropriate account when auto-created through our email logging tool, by independently interpreting context from the email or other recipients.
• Other ad hoc data projects

Technical and Tools Knowledge:

• Experience working in Salesforce a plus but working knowledge of a customer service database or other donor database required.
• Experience handling high level customer service needs and sensitive information.
• Proven attention to detail in data and databases, while also working with efficiency and efficacy.
• Understands the power of accurate, complete and detailed data in informing good decision-making. Excellent knowledge of software including Salesforce, Office 365, SharePoint, OneDrive, Excel, Word, Power Point and Macintosh, including word merges, printing, and other tasks.
• Adept at Excel reporting functions, including pivot tables.
• Communicates clearly and effectively verbally and in writing and has superior listening skills. Interacts with others in a professional manner.
• Identifies ways to better use technology to meet needs and enjoys continually building on their knowledge and expertise by implementing best practices in data entry and management.

 Minimum Qualifications:  

• Bachelor's degree from an accredited college or university or equivalent work experience.
• Four years of experience working in a data support role

• Flexible and has the ability to handle unanticipated changes to schedules, plans and workloads; approaches difficult situations with a positive attitude.  

 Preferred Qualifications: 

• Experience working for a geographically dispersed organization
• Experience working for a nonprofit
• Experience working with fundraising or CRM software, especially Salesforce
• Proficiency in Microsoft Outlook, Calendar functions, SharePoint, OneDrive, Excel, PowerPoint, Word

Location

We are a remote-ready organization with team members around the globe. Our beautiful and welcoming offices are available for meetings or focused work, whether you are traveling through or living nearby. Our U.S. offices are in New York City; Washington DC; Oakland, California; Boulder, Colorado; and Basalt, Colorado. This role must be located in Boulder, Colorado and includes the ability to work a hybrid work schedule.

We provide you with the essential IT equipment plus a one-time home technology payment and a monthly work from home/commuter allowance to ensure you have a comfortable home office set up and necessary supplies.   

We love seeing each other in person! We occasionally gather for shared time together like retreats and learning experiences. Be ready to travel for occasional in-person meetings (and of course, we cover travel costs). This role may be expected to travel for team events which occur approximately twice a year.
 

Compensation    

RMI compensates based on the level and requirements of the role. Compensation within our ranges may also be determined by experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. The salary range for this position is $61,776 – $76,139. You would also have an additional 5% bonus target!
