The Aspen Board of REALTORS® is seeking an Association Executive (AE) to serve our 750+ members and affiliates in the beautiful Roaring Fork Valley.
The AE is responsible to the Board of Directors for the effective administration of the Aspen Board of Realtors® and the Multiple Listing Service that is operated through AGSMLS, (Aspen and Glenwood Springs Board as Shareholders).
The AE recommends and participates in formulating the Organization’s mission, goals, objectives, and related policies. Within that framework, the AE plans, organizes, coordinates, controls and directs the Organization’s programs and activities.
ESSENTIAL DUTIES INCLUDE
Strategic Leadership:
• Works to advance the Organization’s goals to provide leadership, education, technology, and support for the Association members.
• Plans, formulates, and recommends for approval of the Board of Directors basic policies and programs that will further the Organization’s objectives.
• Oversees the activities of all standing Committees to ensure that they are operating within their assigned responsibilities. Ensures that Committee decisions and recommendations are submitted to the Board of Directors for review and approval.
• Stays apprised of the operation of the Multiple Listing Service in accordance with the Bylaws and policies as outlined by the Board of Directors.
Partnership with Board of Directors:
• Serves as ex-officio, nonvoting member of the Board of Directors and all standing Committees of the Organization.
• Attends all meetings of the Board of Directors. Assists in preparation of agendas and follow through on implementation of decisions and policies.
• Ensures that the Board of Directors is fully informed of the condition and operation of the Organization and of all-important factors influencing them.
• Executes all decisions of the Board of Directors except otherwise assigned.
• Ensures that the Board of Directors receives all recommendations or mandates from the National Association of Realtors® (NAR) so that the Organization stays fully compliant with the State and National Realtor® Associations.
• Works with the MLS Board of Directors to assure compliance of the MLS Rules & Regulations. Attends AGSMLS Board of Director meetings. Liaison between the membership and ABOR’s MLS Directors to forward all MLS issues for review.
• Carries out such other general responsibilities as may be delegated by the Board of Directors.
Membership:
• Plans educational programs with Staff and the Education Committee to advance the professional, technical, and managerial skills of the membership, within budgetary and program objectives.
• Is responsible for the planning, promotion, and administration of all official meetings of the Organization.
General Administration/Management:
• Ensures that the Organization is operated in accordance with published policies, NAR’s Core Standards, Bylaws and MLS Rules and Regulations.
• Plans the general administration of the entire operation; delegates as appropriate and oversees delegated responsibilities.
• Performs a Secretarial function for the Organization, maintaining official minutes, providing security for all files, legal and historical documents, financials, membership, and mailing lists.
• Negotiate with vendors for contract renewals, extensions, fee changes, or discounts.
Communications & Public Relations:
• Ensures that the policies, programs, and activities of the Organization are properly communicated to the members through mailings, faxes, newsletters, online communication, meetings, and events.
• Works with the Executive Committee to promote the Association, its members and the larger profession to the media, community and stakeholders through persuasive, strategic and well-researched messaging.
• Works with website vendor to maintain Association’s website and verify accuracy of content.
Professional Standards and Ethics:
• Acts as the liaison for membership and the public for complaints before they are forwarded to Professional Standards.
• Maintains overall general knowledge of the Code of Ethics and Arbitration procedures.
• Is certified as a Professional Standards Administrator and attends recertification when needed to maintain position.
Financial:
• Works with the Budget Committee and the Board of Directors to provide overall financial viability of the Organization and prepare the annual budget.
• Ensures that dues and fees are collected, and that services are terminated for non-payment in accordance with the Organization’s Bylaws, MLS Rules and Regulations and published policies and procedures.
• Ensures that all transactions are handled in a timely manner, including Accounts Receivables, Accounts Payable, deposits, and reconciliation of bank statements and preparation of financial reports.
• Calculate and maintain MLS to Board ratio for IRS filings and to maintain not-for-profit status in cooperation with CPA.
• Prepares monthly financial statements, year-end activities and documents, expense summary and bank account report for the Board of Directors and MLS Committee in cooperation with the Bookkeeper and CPA as needed.
• Ensures that all funds, physical assets, and other property of the Organization are appropriately safeguarded and administered.
• Works with the Organization’s CPA & Bookkeeper to ensure proper and timely preparation of financial reports, payroll, and tax filings.
Legal:
• Executes contracts and commitments as authorized by the Board of Directors or within established policies.
• Acts as a liaison between the Board of Directors and the Organization’s Attorney.
• Ensures that the Organization is operated in accordance with all laws and regulations.
Relationships:
• Maintains effective relationships with the Colorado Association of Realtors® (CAR), National Association of Realtors® (NAR), related trade organizations and other organizations, both public and private, and sees that the position of the Organization and its members is enhanced in accordance with the policies and objectives of the Organization.
• Attends local, State and National Realtor® meetings and conventions, annual Association Executive Conference, and seminars as appropriate and within the budget of the Organization.
•Serves on State and National Association Realtor® committees if appointed when such service is of benefit to the Organization.
• Negotiate and maintain cooperative agreements with other local associations or MLSs to offer shared and/or cooperating services.
• Develops and maintains positive relationships with local, state and national Associations, local and state elected personnel, and allied businesses and organizations.
Job Qualifications
Knowledge, Skills, Abilities
• Dedicated to the ideals and goals of the REALTOR® Association.
• Be of strong moral character, possessing excellent leadership and motivational skills.
• Capable of working under pressure.
• Able to work within time constraints and meet deadlines.
• Exceptional leadership and communication skills (both written and verbal).
• Proficient in accounting principles, financial management and associated tasks.
• Knowledge of Word, Outlook, Access, Adobe Writer, QuickBooks, and Excel.
• Database maintenance.
Education and Experience
· Bachelor’s degree or equivalent.
· At least five (5) years’ work experience in a Realtor® Association (strongly preferred) or other professional association.
· Background in real estate industry and/or CAE or RCE designation preferred.
· Experience with Association or non-profit financial management and governance.
