JOB DESCRIPTION SUMMARY:  

The Controller is an individual contributor role, and an A-Z accounting/finance focused, hands-on and strategic, senior level managerial role responsible for the daily delivery and management of all accounting/finance duties and tasks, processes, documentation, reporting, and projects. This role manages a dotted-line, part-time administrative assistant report as well as external supporting entities connected to the accounting needs of the organization. This role is responsible for the accounting deliverables and management of company assets, liabilities, billing/revenue, journal entries, investments, expense and budget creation and management, payroll, and the compliance with internal controls and policies to successfully pass an annual, independent financial audit and comply with all local and federal laws. Creates month end reporting and reconciliations, manages daily tasks and journal entries, analyzes financial systems, and maintains accounting technology and processes for maximum effectiveness. Delivers all accounting/finance department duties on time, maintains bank accounts, and manages and reconciles transactions by resolving discrepancies. Sole responsibility for fund and finance data management and financial record keeping. Responsibilities also include preparation of monthly billing statements, lockbox oversight, executive level reporting ability, and creation of various monthly, quarterly business analysis reports, audit oversight, management of annual tax return (990) filing in concert with audit firm, and more. Performs all reporting and cash controls, journal entries, expense management, A/P, A/R, payroll, and collections activities. Signs off on the accuracy and veracity of all reconciliations and financial statements and annual tax filings. Ensures compliance with organization’s financial policies and procedures, local, State, and federal laws, and GAAP based accounting best practices. Serves as member of the organizational Sr. Leadership Team.

JOB DUTIES AND RESPONSIBILITIES:

Develop, execute, and manage all daily activities related to accounting and finance, including the production of accurate monthly financial statements and reports, reconciliations, accounting and reimbursements/analysis, monthly balance sheet, P&L, reconciliation, bi-weekly payroll process management, reconcile bank statements, manage staff expense reports, journal entries, manage A/R and collection effort, annual budget management and tracking, expenditure tracking/oversight, annual cost report package creation, statistical analysis, financial computer systems balancing/maintenance and troubleshooting, and more.  Manage accounts payable, accounts receivable, collections, tax payments and preparation, productivity/labor utilization reporting, decision support analyses, 401K contributions, payroll, and other tasks as assigned as the singular accounting resource of the organization.

  • Manage monthly, quarter, and year-end financial reconciliations, closing, reporting and other activities as assigned, including the preparation and review of journal entries, account reconciliations, and financial statements in accordance with GAAP principles, and organizational policies and procedures.
  • Manage bank accounts and deposits/reconciliations, account balances, cash balances, investment statements, lockbox activities, invoicing and billing and direct all activities relating to collection processes of aging accounts.
  • Manage bi-weekly, company wide payroll process.
  • Coordinate timely local and federal tax filing (990) and lead independent financial audit process with external audit firm. Organizes information and statements for audits for external auditors.
  • Ensure consistent compliance with all local, state, and federal laws, GAAP, Colorado Non-Profit Act, and 501c4 related guidelines.
  • Prepare and review monthly accruals and prepayments, capital expenses and Board designated expense tracking details and process and ensures accurate recording and coding.
  • Develop and maintain KPIs and projection/financial modeling reports and management metrics for Senior Management and Board of Directors, including financial forecasts and report variances.
  • Maintain an effective internal control environment to ensure compliance with GAAP and company finance policies and procedures, as well as state and federal regulations.
  • Effectively use QuickBooks Online, Sage, and Bill.com and/or similar accounting software to manage invoice payments, track, report, automate and improve financial processes, as well as provide financial reporting.
  • Create and manage monthly invoices and billing statements and bill all customers for all products and services as applicable.
  • Manage Aging Reports and all Collection efforts in concert with other departments.
  • Work closely with the Executive Director and/or Treasurer, and other outside resources to ensure the smooth and timely delivery of the operation’s financial activities.
  • Oversight of Association’s Reserve Portfolio, external Investment Advisory and Accounting Support Firms. Delivers monthly investment and reserve portfolio reports as part of monthly financials with review and observation notes.
  • Support the Executive Director in developing and implementing financial policies and procedures and directs IT resources in the maintenance of accounting software and systems as applicable.
  • Lead monthly, cross-departmental Budget Review Meetings to track actual vs. budget expenditures and ensure accuracy of coding, entries, and approval process.
  • Leverage current and updated technology to build scalable/sustainable processes to create efficiencies, streamline accounting operations and improve employee experience.
  • Establish a high-performance culture by building a culture of trust and high accountability.
  • Provide financial training and guidance to team members across the organization.
  • Perform all daily accounting transactions such as posting to registers and ledgers, maintaining General Ledger codes and journal entries, verifying accuracy of accounting documents and codes, and more. In coordination with Human Resources maintains the organization’s payroll records, collects staff timesheets, and distributes paychecks to staff in conjunction with payroll company, oversees payroll adjustments, 401K contributions and policies, manages bonuses, raises, and changes in tax status. Manages all accounting, fraud prevention, finance policies, and audit control processes.

Qualifications

REQUIRED SKILLSET:

  • Bill.com or similar A/P / billing / statement management software skills are required.
  • QuickBooks Online experience is required.
  • Expense Management experience is required.
  • An advanced level of Microsoft Excel experience is required. Smartsheet experience is a plus.
  • Demonstrated ability to perform in and build a high standard, high-performance, deadline orientated, accounting and fiscal management process and policy driven environment.
  • Thorough knowledge of generally accepted accounting best practices, principles, and procedures, including GAAP is required.
  • Strong understanding of cash accounting/accruals/deferrals and month-end procedures is required.
  • Must have excellent verbal and written communication skills to communicate in a clear, concise manner.
  • Strong attention to detail, deadlines, and accuracy of content.
  • Strong mathematical and analytical skill set.
  • The ability to work independently and as part of a senior leadership team, manage multiple projects simultaneously and meet deadlines is required.
  • Ability to adjust regular working hours from time to time dependent on project or organizational needs is required.
  • Possess strong ethical standards and prominent levels of integrity.
  • Ability to build, lead, mentor, and manage junior staff and contractors and present to senior executives is required.
  • The ability to set performance expectations, conduct regular performance reviews, and provide ongoing feedback and coaching to staff is required. Must be capable of fostering a culture of accountability, collaboration, and continuous learning within the department.
  • Ability to develop and maintain comprehensive financial policies, internal control process and written procedures to ensure sound financial governance process of the organization is required.

REQUIRED EXPERIENCE:

  • A minimum of seven years’ general accounting experience in a mid to senior level accounting/finance position is required.
  • A minimum of two years in an accounting managerial level role is preferred.
  • Robust QuickBooks or similar accounting software user experience is required.
  • Robust experience with creating financial statements, A/P, A/R, Billing, Collections, Controls, and management of payroll and all general ledger functions is required.
  • Nonprofit organization accounting experience is preferred but not required.

REQUIRED EDUCATION:

  • Bachelor of Science in Finance, Accounting, or similar focused degree is required. Master’s Degree preferred. CPA designation is preferred. Degree may be substituted with robust and proven work experience as determined by company during interview process.

WORKING CONDITIONS:

  • Current hybrid work environment including remote telecommuter locations and in-office environment; occasional travel and teleworking options available as directed. Occasional work hours/schedule changes may be required as directed to accommodate in-office meetings and project needs. Working location, conditions, and work environment parameters are company directed and are subject to future change with advanced notice.

HOURS:

Regular business hours 8am-5pm. Occasional weekend or evening hours if necessary to meet deadlines, accommodate meetings or project deliverables.
