The Institution:
Iliff School of Theology occupies an eight-acre site at the intersection of University Boulevard and Iliff Avenue adjacent to the University of Denver campus. The physical plant comprises Iliff Hall, built in 1892 and on the National Register of Historic Places, and Skaggs Hall and the Bacon Library, built respectively in 1981 and 1955/97 are relatively modern architecture and have undergone extensive recent remodeling and updating. Iliff has several venues which are available for meetings and occasions by both internal and public users. In Iliff Hall, the Chapel and Bartlett Hall provide lovely historic event sites for 50-120 participants. In the Skaggs Building, Shattuck Hall can accommodate upwards of 150 persons; the Library and many of the classrooms are also available for meetings, conferences and events.
Job Summary:
The Events Sales & Hospitality Manager will be chiefly responsible for creating and maintaining a proactive marketing and sales program for Iliff meeting facilities. Their duties include managing and coordinating among the various responsible parties within the Iliff organization: security, facilities, Iliff’s Artificial Intelligence Institute, Institutional Advancement, IT/Audiovisual services, marketing and internal or external customers, to ensure that internal and external events hosted on the campus are executed smoothly, seamlessly, and with the highest level of customer satisfaction. This person will also be responsible for creating comprehensive systems and processes for planning, setting up, and managing events both on and off campus for periodic analysis and updating of room use and support services fees. They will be expected to collaborate effectively and closely with faculty, staff, students and external end-users. This person will both provide big-picture strategic and planning support and will manage granular logistical details. The Manager will operate with sensitivity and diplomacy, will embrace transparency and will promote a culture of customer service and excellence. Their work will range broadly across a range of internal and external stakeholders, supporting all, and may often act as the public face of Iliff to new users of Iliff’s facilities.
Proposed Salary Range: $56,486-$66,380/year

Primary Responsibilities and Functions:

Manage a proactive sales and marketing program to maximize appropriate rental use of Iliff meeting facilities

Grow sales through active prospecting of targeted businesses, organizations, associations and event planners for groups

Builds relationships with companies and individuals in order to maximize bookings
-
Report weekly bookings, monthly sales actions results, quarterly variances or manual edits as necessary, and turndown-lost business reports as requested

Prepare contractual agreements, charge necessary deposits, and ensure deposits and full payments with internal and external parties renting the meeting facilities

Act as primary contact for all group clients, ensuring completion of event details and retention

Coordinate and attend walk-throughs with clients in regard to events

Be available for work on weekends or extended hours to provide customer support during events

Create and streamline systems and processes for the use of Iliff facilities
-
Collaborate effectively with internal stakeholders and service providers to maximize customer satisfaction

Evaluate external vendors (such as caterers) and create a limited list of approved service providers
-
Coordinate with the Dean and the Iliff Office of Media & Marketing to vet and screen new user requests

Coordinate with iliff Office of Media & Marketing to ensure event communication strategies are created and implemented, attending to creation of proper marketing materials, media distribution, etc.

Coordinate effectively with Iliff Facilities and Security personnel for appropriate and timely set-up and take-down services, on-site security, etc.

Coordinate with external vendors, booking event schedules and locations, both on- and off-campus

Manage all event-day tasks, including parking, registration, name tags, signage, room setup and take-down, AV, IT and Security support, on-site direction of vendors, etc.

Ensure that a master room-scheduling and event calendar system and process is in place and working effectively

Serve as the public face of Iliff to external users and vendors for event coordination

Organize and coordinate rental of vendor spaces for Iliff at external public events

Obtain feedback from clients following each event to determine and analyze client satisfaction, organizational Performance, and event-related risks and liabilities

Effective computer skills (Microsoft Excel and Word, Microsoft Project or similar project management software; proficiency with Adobe Illustrator, Photoshop, or InDesign highly desirable)

Some physical strength and mobility may be required to help set up or take down seating, furniture or equipment commonly used to support events

Flexibility with scheduling and time management (may require some evenings, weekends, or extended hours)

Required Qualifications

Bachelor's degree or equivalent combination of education and experience

1-2 years of project management and/or event management experience

Experience managing budgets and coordinating across multiple vendors and stakeholders
Preferred Qualifications

2-3 years of event management and scheduling experience

Experience working in a higher education environment
Physical Demands:

Must be able to input information into and retrieve information from a computer, communicate, and exchange information for extended periods of time

Must be able to move 30 pounds.
