Summary

Associate Director, Operations provides operational management to the Global Marketing & Research department (GMR) supporting a team of more than 30 people and a $25MM budget. The position includes project management, oversight of the administrative operations and efficiency gaining efforts. The person must enjoy rolling up their sleeves to get into the detail while also having competency for thinking strategically.

Administrative Operations

  • Provides administrative support for Global Marketing & Research SVP and Sr. Executive Directors.
  • Management of GMR administrative staff and processes, including but not limited to contracting, invoicing, state billing, and program budget tracking.
  • Find efficiency in department streamlining for increased capacity, accuracy and high levels of service while also decreasing unnecessary protocols.
  • Actively step in to provide administrative and accounting capacity as needed.
  • Meet with team members and department leaders on a regular basis to review needs, barriers, issues, budgets, time allocations and work to improve effective processes on an ongoing basis.
  • Develop and maintain organizational systems to ensure the department runs efficiently, working to remove barriers and unnecessary red tape for program managers.
  • Support grants and other revenue development efforts.
  • Other job duties as assigned, such as mailing projects and onsite meeting preparations.

 

Project Management

  • Lead and execute projects, including project plan development, tracking and reporting. Including but not limited to culinary projects, technology efforts, annual plans, cross-department needs.
  • Work closely with the culinary team, providing project management including calendars, tracking, and front of house support.
  • Support GMR leadership in revenue development activities, including analysis, tracking, and funding requests.
  • Work with team members to proactively report major events, programs, milestones, and results to proactively communicate updates to stakeholders.
  • Identify opportunities to leverage information across teams and departments and coordinate sharing with industry stakeholders.
  • Present plans and results to internal and external groups. 

MINIMUM QUALIFICATIONS 

  • EDUCATION – Associates or Bachelor’s degree or equivalent business experience
  • EXPERIENCE – 7+ years general business or marketing experience, some non-profit experience preferred. Experience providing support to several teams at the same time, invoice management, project management and improving processes.

  • CERTIFICATION(S) Proficient in Microsoft Word, PowerPoint, and Excel. Certifications a plus
  • SKILLS- High level of professional demeanor and motivation. Quick to learn, adaptive and assertive. Proven ability to orchestrate projects, enlist others, present to groups, manage small team, and improve process. Familiarity with marketing automation and database management. Candidate must be a self-starter, capable of working on several projects simultaneously, with strong time management, prioritization, and organizational skills. Comfortable working with the detail with ability to act strategically, history of managing projects across that spectrum. Travel up to 30%. Grants management experience preferred.
