Summary
CFI is looking for a highly organized, detail-oriented, and self-motivated person to support a small team of core employees by improving office functions at its Lakewood headquarters. The following summary is for reference. It is not exhaustive. Actual duties may vary from what is listed below and may evolve over time depending on the nonprofit’s needs and the successful candidate’s skills.
Description
ROLES AND RESPONSIBLITIES
- Responsible for performing a variety of general administrative and office operations support activities, including but not limited to: greeting visitors, answering phones, managing incoming and outgoing mail, ordering office supplies, managing invoices for partner office vendors, etc.
- Manages the main CFI@14ers.org email account
- Enters donor and donations data into online DonorPerfect database
- Executes ongoing audits, updates, and streamlining of the CFI DonorPerfect database in conjunction with the controller
- Plays a major role in collating and mailing end-of-year donation appeals
- Works with controller to manage donor thank-you notes year-round
- Uses DonorSearch to research existing and/or prospective donors to assist executive director and deputy director with increasing individual donations
- Assists with planning and organizing outreach events
- Assists with planning and organizing board of directors’ meetings, including taking minutes, ordering lunches, and making sure BoardSpot portal is updated with necessary meeting details
- Updating on an ongoing basis as many as 30 donor portals to ensure CFI is in good standing with workplace giving portals. Ditto for CFI’s tax-exempt status with several vendors like Home Depot, Amazon, etc.
- Updating on an annual basis CFI’s status/profile on Colorado Gives Day, Guidestar, and other nonprofit platforms
- Assists operations manager with vehicle shuttles as needed, typically in spring and fall
POSITION QUALIFICATIONS
- Bachelor’s degree preferred, high school diploma required
- Two years of experience working in a professional office setting in a support or administrative role
- Obsessive attention to detail and exceptional time management skills
- Personal and professional commitment to integrity and high ethical standards
- Able to respectfully work with confidential donor information
- Proficiency in Microsoft Office Suite
- Proficiency in Windows-based computer operating system
- Excellent customer service skills
- Above average verbal and written communication skills
- Must be able to read, write, and communicate fluently in English
- Must have permanent authorization to work legally in the United States
- Must be able to pass a criminal background check
- Must have a valid driver’s license and a clean driving record
- Must be capable of lifting roughly 30 pounds
- Familiarity with DonorPerfect database management system a plus
