Position Summary
The Administrative Assistant is an integral administrative support position within Volunteers for Outdoor Colorado (VOC), working closely with the Director of Finance and Administration, senior leadership, and program staff to ensure organizational effectiveness and efficiency. This position’s primary responsibilities include: providing support in the office through general office duties, facility rentals, art shows, financial controls, IT support, and project-related support. The Administrative Assistant reports directly to the Director of Finance and Administration, and serves as an executive assistant.

The position requires a highly organized, detail oriented individual with exceptional multi-tasking capability in all aspects of administrative management.

Office Coordinator

Performs a full range of administrative, organizational and secretarial duties for the Education department and the Helen Fowler Library. Supports programs for all audiences and program staff by coordinating tasks and efforts

Office Manager

The following is illustrative, but not exhaustive of the scope of responsibilities of the Office Manager:

1. Assists the Assistant Principals as requested in fulfilling administrative tasks.

2. Coordinates events for the staff at the request of the school principal.

3. Records, tracks, and monitors student attendance in coordination with the Dean of Students.

4. Prepares a deposit listing each week.

Staff Associate – Aims Foundation

The incumbent will provide general and specific administrative support for the Foundation and the Community and College Relations division staff, the Foundation Board of Directors, and to the general public as the front office representative and office manager for the work unit. Responsibilities will include foundation policy oversight; donor relations through timely correspondence and development of gift agreements. Oversight of scholarship awards will be conducted such as: a) collaboration with the accountant determining scholarship value b) collaboration with financial aid to confirm available awards, donor receipts/pledge reminders; assignment of codes for constituent records in donor database; additions and corrections to current records in donor database and historical or legal documents.
