Job Summary:
The Executive Assistant to the President & Board Liaison serves as the senior administrative and operational leader within the President's Office. This role is responsible for overseeing executive administrative operations, serving as the primary operational liaison to the Board of Trustees and ensuring the effective preparation and coordination of Senior Leadership Team (SLT) agendas and documentation.

Operating with a high degree of discretion and independent judgement, the Executive Assistant manages the operational budget of the President's Office, supervises the Assistant to the President & VP/CFO, and ensures that executive, Board, and leadership processes are executed smoothly, professionally, and in alignment with institutional expectations. The role may serve as a delegated institutional representative at the President's direction for operational or Board-related matters. The Executive Assistant also leads special projects on behalf of the President, ensuring timely, accurate, and effective execution of executive priorities.

The Executive Assistant directly supports the mission of Regis University by enabling effective executive leadership operations and maintaining the integrity, professionalism, and confidentiality of the Office of the President.

Major Duties and Responsibilities:

President's Office Operations & Management:

  • Serves as the senior administrative leader of the President's Office, ensuring efficient, organized, and professional executive operations.
  • Exercises independent judgement in prioritizing executive matters, anticipating needs, and resolving administrative issues.
  • Provides oversight to executive communications and correspondence workflows, ensuring appropriate monitoring, triage, and follow-up of the President's email and written communications.
  • Oversees executive workflows and office protocols to ensure consistency and effectiveness while fostering a collaborative, supportive and high-functioning President's Office.
  • Prepares executive briefing materials, summaries, and background documentation for the President as needed.
  • Serves as a resource and a point of escalation for administrative issues within the President's Office.
  • Manages sensitive and confidential information with the highest level of discretion.
  • Provides direct supervision to the Assistant to the President, leading through mentorship, coaching and development to support growth.
  • Partners with the Assistant to the President to build strong administrative practices, proactively address challenges, and continuously improve executive and Board support processes.
  • Demonstrates professionalism, discretion, and hospitality consistent with Jesuit values when engaging with internal and external stakeholders.

Board of Trustees Liaison & Operations:

  • Serves as the primary operational liaison between the President's Office and the Board of Trustees.
  • Oversees the preparation, coordination, and accuracy of Board meeting materials, agendas, briefing documents, and records in partnership with the President.
  • Ensures Board timelines, communications, documentation, and portal materials are complete, accurate and delivered on schedule.
  • Attends Board meetings as required to support administrative operations and documentation.
  • Supervises and ensures the effective execution of all Board-related administrative duties, including logistics, minutes, records management, and follow-up documentation.
  • Partners with the Assistant to the President to anticipate the needs of Trustees with attentiveness, respect, and care for relationships, reflecting the Jesuit commitment to thoughtful accompaniment and stewardship.

Senior Leadership Team Support:

  • Prepares and coordinates SLT meeting agenda, documentation, briefing materials, and presentation content in partnership with the President.
  • Ensures timely distribution of SLT materials and tracks follow-up items and documentation as directed.
  • Supports effective SLT operations by maintaining organized records, decision documentation, and meeting materials.
  • Supports leadership collaboration in a manner that fosters trust, shared responsibility, and mission-aligned decision-making.

Budget & Administrative Oversight:

  • Manages the operational budget for the Office of the President, including expense tracking, forecasting, and compliance with University financial policies.
  • Approves routine expenditures for the Office of the President within established authority.
  • Coordinates with Financial Affairs and other offices as needed to ensure accurate and timely financial administration.

Institutional Representation:

  • Represents the President's Office in meetings or engagements at the President's direction, primarily related to executive operations, Board activities, or administrative coordination.
  • Communicates professionally with internal and external stakeholders on behalf of the President's Office as delegated.

Special Projects:

  • Leads special projects as assigned by the President.
  • Develops project plans, timelines, and deliverables to support executive priorities.
  • Coordinates with internal stakeholders to gather information, track progress, and ensure deadlines are met.
  • Prepares summaries, updates, and recommendations related to special projects for the President.
  • Ensures special projects are executed with appropriate discretion, confidentiality, and alignment with executive priorities.

Working Conditions:

This is a standard office environment with occasional evening or weekend work required for events. While this position will require a strong campus presence, occasional remote work may be supported.

Required Qualifications:

Education:

  • Bachelor's degree required, or equivalent combination of education and relevant executive-level administrative experience will be considered.

Experience:

  • Significant experience supporting executive leadership and/or Board of Trustees.
  • Experience managing budgets or financial tracking within an administrative office.

Special Knowledge, Skills, Abilities:

  • Exceptional oral and written communication skills.
  • High degree of discretion, diplomacy and professionalism.
  • Strong organizational and analytical skills with the ability to manage multiple priorities.
  • Advanced proficiency in Microsoft Office, including Word, PowerPoint, and Excel, with the ability to prepare executive-level presentations, briefing materials, and organized summaries of information.
  • Ability to work effectively with diverse stakeholders, including senior leaders and Trustees.

  • Experience supervising administrative staff
  • Previous experience in higher education are preferred.

Pay Rate:
$70,000 – $75,000 / annually, commensurate with qualifications
