Position Overview
Colorado Open Lands is seeking a highly organized and dynamic Philanthropy Associate to plan, manage, and execute a wide range of donor-focused events throughout the year. This is a hybrid position based in our Lakewood office (with regular remote work optional) and travel across the state to support and host events.
The Philanthropy Associate is responsible for end-to-end management of all COL donor events, including small donor appreciation dinners, a large biennial gala, and day trips and overnight tours to conserved landscapes. This position also manages the workflow on campaigns and appeals for the Philanthropy department. The ideal candidate is detail-driven, service-oriented, calm under pressure, and enthusiastic about creating exceptional experiences that inspire COL’s supporters.

Key Responsibilities

Event Planning & Management

  • Lead all logistics for COL donor events, including large galas, day trips, small dinners, hiking excursions, and overnight conservation tours. Approximately 20 events/outings annually.
  • Manage event timelines, budgets, vendor relationships, RSVPs, guest communications, and onsite execution.
  • Create and distribute invitations, manage follow-up communication, and ensure strong engagement before and after events.
  • Anticipate needs and troubleshoot seamlessly to promote smooth event flow and excellent guest experience.

Donor Engagement & Support

  • Manage the design and workflows on donor communications, including campaigns, appeals, and giving programs.
  • Work closely with the Philanthropy team to create memorable, mission‑aligned events that deepen donor relationships.
  • Provide exceptional customer service to donors, ensuring every interaction is thoughtful and positive.
  • Track event participation, donor interactions, and follow-up activities in COL’s CRM Donor Perfect on a daily basis.

Cross-Department Collaboration

  • Coordinate with team members across Conservation, Stewardship, Communications, and Leadership to incorporate meaningful content into events.
  • Help ensure staff across departments are aligned and prepared for their roles during events.

Administrative & Operational Duties

  • Maintain meticulous records, schedules, and organizational systems.
  • Keep teams organized and on track, ensuring tasks are completed on deadline.
  • Manage project workflows from start to finish, navigating obstacles with creativity and professionalism.

Required Qualifications

  • Proven experience in event planning, donor relations, hospitality, or a related field.
  • Minimum 3-5 years of relevant experience.
  • Exceptional organizational and time‑management skills, with the ability to manage multiple events and deadlines simultaneously.
  • Strong customer service orientation; warm, professional, and responsive communication style.
  • Ability to stay calm and solutions‑focused under pressure.
  • Daily proficiency with CRM systems (Donor Perfect, Salesforce, Bloomerang, Raiser’s Edge, or similar).
  • Significant CRM experience a plus.
  • Ability to periodically work evenings, weekends, and overnights as required by event schedules.
  • Ability to lift up to 30 lbs. and participate in 3–4 mile hikes during donor outings.
  • Willingness and ability to travel throughout the state to host events and visit project sites.

Compensation & Benefits

  • Salary range: $55,000–$65,000 annually
