The Membership and Meetings Coordinator supports the day-to-day membership, meetings, committee and communications activities of The Masonry Society (TMS). Working closely with the Executive Director and other staff, this position coordinates membership administration and member service, supports TMS meetings and events, provides administrative support to committees and volunteers, and assists with member communications and promotion.

The Masonry Society (TMS) is a 501(c)(3) educational and scientific nonprofit professional society dedicated to advancing masonry knowledge, its development, and application.  Since 1977, TMS has brought together engineers, architects, contractors, educators, manufacturers, and students through standards development, technical resources, education, conferences, workshops, and collaboration across the masonry industry.

The Membership and Meetings Coordinator supports the day-to-day membership, meetings, committee and communications activities of The Masonry Society (TMS).  Working closely with the Executive Director and other staff, this position coordinates membership administration and member service, supports TMS meetings and events, provides administrative support to committees and volunteers, and assists with member communications and promotion.

This position is well suited for someone who is organized, responsive and comfortable managing multiple priorities in a small association environment.  The successful candidate will take initiative, exercise sound judgment, follow assignments through to completion, and work independently while collaborating closely with staff and volunteers.

What You'll Be Doing

Membership Administration and Member Services

  • Supports day-to-day membership administration, including new-member onboarding, renewals, member records, communications and reporting.
  • Serves as a responsive point of contact for members and prospective members, providing information and assistance related to membership, meetings, programs and TMS resources.
  • Supports membership recruitment, retention, outreach and engagement activities.
  • Maintains accurate and current membership information in TMS systems and assists with membership reports and related records.

Meetings and Events

  • Coordinates logistics for the Spring and Annual Meetings, including online registration, attendee communications, meeting materials, food and beverage, room requirements and setups, budget tracking, and coordination with hotel and venue staff.
  • Provides onsite registration and meeting support, anticipates meeting needs, and helps resolve issues as they arise.
  • Supports planning and execution of the North American Masonry Conference (held every four years) in coordination with the Executive Director, staff, committees, and volunteers.
  • Assists with researching and identifying future meeting sites and may participate in advance site visits as needed.
  • Assists with planning, communications, and administrative support for other TMS programs and events, including webinars and workshops.

Communications

  • Assists with member communications, electronic newsletters, social media, and promotion of TMS meetings, programs and activities.
  • Drafts and proofreads routine communications and promotional content.
  • Creates and updates basic graphics and promotional materials using Canva and similar tools.

Administrative

  • Provides administrative, scheduling, and project coordination support to the Executive Director
  • Supports committee administration, including meeting coordination, communications, recordkeeping, and follow-up.
  • Supports general office administration and day-to-day operational activities.
  • Participates in staff meetings, planning discussions, and organizational coordination.
  • Coordinates assigned projects and priorities, tracks deadlines and follow-up items, and communicates progress and items requiring decisions.

What We’re Looking For

Minimum Qualifications

  • Associate degree or equivalent combination of education and relevant professional experience.
  • Two or more years of relevant professional experience in administrative coordination, membership, meeting or event planning, association or nonprofit work, or a related environment.
  • Experience coordinating meetings, events, programs, or projects involving multiple deadlines and participants.
  • Proficiency with Microsoft 365, including Outlook, Word, Excel, and PowerPoint.
  • Experience using databases and other technology to manage information, support workflows, and generate reports.
  • Effective interpersonal skills and a service-oriented approach.
  • Excellent written and verbal communication skills.
  • Ability to work independently, exercise sound judgment, and recognize when to act independently and when to seek guidance.
  • Strong organizational skills and attention to detail.
  • Demonstrated initiative, follow-through, and ability to anticipate next steps.

Preferred Qualifications

  • Bachelor’s degree or equivalent combination of education and relevant professional experience
  • Experience working in an association, nonprofit, professional society, or membership-based organization
  • Experience with Airtable or similar database and workflow platforms
  • Familiarity with Canva or similar tools for preparing digital communications and promotional materials

Compensation and Benefits

  • Full-time, non-exempt position based on a 40-hour workweek
  • Hourly compensation range: $27.50–$29.50 per hour ($57,200–$61,360 annually), depending on experience and qualifications

Working Environment
Work is primarily performed in an office and event environment using standard office equipment.  Occasional lifting and transport of meeting materials and supplies up to 25 pounds, travel-related activities, and extended computer use may be required.

This position requires flexibility in work hours during meetings and conferences, including occasional early mornings, evenings, weekends, and overnight travel several times per year.  Meeting and conference days may involve extended hours on-site.
