Job Description: Administrative Coordinator

Mission: 

The mission of the Administrative Coordinator is to support the day-to-day administration of Nude Foods Market by ensuring accurate reporting, timely payroll and benefits administration, organized communication, strong vendor relationships, and ongoing business compliance. This role provides the structure and  administrative support that allows the leadership team to focus on growing the business and serving our community. Objectives: 

Included among the objectives of this position are:

 

  • To maintain accurate and timely administrative processes across the organization.

  • To ensure payroll, reporting, and compliance activities are completed accurately and on schedule.

  • To support employees, volunteers, and vendors with administrative needs.

  • To maintain organized records, systems, and business documentation.

  • To foster strong relationships with external service providers and business partners.

 

Structure:

This is a part-time position averaging approximately 15 hours per week. The Administrative Coordinator reports directly to the Chief Executive Officer and works closely with managers, employees, volunteers, vendors, and external service providers. 

Reporting & Business Administration

  • Prepare weekly, monthly, and quarterly sales reports and business metrics.

  • Maintain company dashboards, records, and administrative documentation.

  • Assist with data entry, document management, and general administrative support.

  • Support leadership with reporting and administrative projects as needed.

Payroll, Benefits & Team Administration

  • Process bi-weekly payroll and maintain payroll records.

  • Track employee timekeeping and PTO balances.

  • Maintain employee files and required employment documentation.

  • Coordinate employee onboarding and offboarding paperwork.

  • Serve as the primary administrative contact for employee benefits.

  • Work with the Company's benefits broker and insurance providers regarding enrollments, terminations, renewals, and employee changes.

  • Support annual open enrollment and benefits administration activities.

Communications & Vendor Relations

  • Manage and monitor the team inbox.

  • Respond to or route employee, vendor, customer, and administrative inquiries.

  • Maintain positive relationships with vendors and external partners.

  • Coordinate vendor communications, documentation requests, agreements, and routine follow-up.

  • Ensure inquiries are addressed promptly and professionally.

Compliance, Licensing & Insurance

  • Maintain business licenses, permits, registrations, and compliance records.

  • Coordinate required filings and reporting deadlines with external providers.

  • Maintain labor law postings and required employment records.

  • Assist with insurance renewals and maintain insurance-related documentation.

  • Support the Company in remaining compliant with applicable employment, business, and regulatory requirements.

Professional Services & Systems Management

  • Serve as a point of contact for accountants, payroll providers, insurance brokers, attorneys, and other professional service providers.

  • Maintain company subscriptions, software accounts, and administrative access permissions.

  • Coordinate administrative requests, documentation, and follow-up with vendors and service providers.

Compensation: This is a part-time position averaging approximately 10-15 hours per week. The compensation range for this position is $22–$25 per hour, depending on experience and qualifications.
