ADMINISTRATIVE OPERATIONS ASSISTANT

Location: Denver Metro Area
Full-Time | Hybrid (Tuesdays & Thursdays in-office)

SUMMARY
The Administrative Operations Assistant provides day-to-day administrative support that keeps CTA organized, responsive, and running smoothly. Reporting to the Senior Vice President of Operations and Programming, this role supports internal processes, maintains accurate CRM records, assists with board and governance logistics, and provides administrative support for billing and invoicing related to memberships and sponsorships. The position also supports event operations through administrative coordination, including member outreach related to events and maintaining accurate registration records. This role contributes to a smooth membership experience by keeping information accurate, communications timely, and workflows consistent.

REPORTING STRUCTRE
Reports to: Senior Vice President of Operations and Programming
Works closely with: Membership, Sponsorship, and Event staff
Primary focus: Administrative support, CRM accuracy, billing and invoicing support, governance logistics support, event administration support, internal coordination, and production of standard, recurring reports and communications using established templates and processes

PRIMARY RESPONSIBILITIES

1. Administrative Support and Internal Coordination

  • Maintain templates, documentation, and standard processes that support consistent internal workflows.
  • Coordinate routine administrative tasks that support CTA’s day-to-day operations, including scheduling support and internal task tracking as needed.
  • Maintain organized digital files and reference documents to ensure materials are easy to locate and consistently formatted.
  • Route member and sponsor questions as needed and support timely internal follow-up by pulling relevant records.

2. CRM, Rosters, and Engagement Tracking

  • Maintain accurate member and sponsor records, including data entry, updates, and periodic clean-up.
  • Maintain attendance and roster records for programs and events, ensuring engagement tracking is accurate and easy to reference.
  • Run standard reports and export lists from the CRM to support membership, sponsorship, event, and operational needs.
  • Support periodic CRM accuracy checks to keep records current and reliable.

3. Billing and Invoicing Support

  • Support billing and invoicing processes for memberships and sponsorships, including invoice generation, tracking, and documentation.
  • Maintain invoice status tracking and accurate billing records, coordinating internal follow-up as needed.
  • Maintain organized billing files and invoice documentation for internal reference and reporting support.
  • Send first-renewal notices through the CRM and coordinate with Membership staff for follow-up actions.

4. Board and Governance Support

  • Provide administrative and logistical support for board meetings, including scheduling support, materials organization, and onsite needs.
  • Assist with board meeting minutes by preparing drafts for leadership review.
  • Help assemble board packet materials by inserting current membership data, engagement and attendance summaries, and other requested operational data, ensuring materials are complete, accurate, and well organized.

5. Event and Registration Support

  • Support outreach to members about upcoming events and programs using established templates and guidance.
  • Assist with event registration tracking by maintaining attendee lists and CRM records.
  • Prepare name tags and other basic event administrative materials as needed.
  • Provide onsite administrative support at CTA events, including assisting at the registration table, supporting check-in, and helping ensure attendee records are accurate post-event.

6. Membership and Sponsorship Support

  • Support Membership 101 sessions and refreshers by updating presentation data and materials as needed.
  • Support preparation of standard sponsorship reporting (using existing templates), including pulling CRM data and summarizing invoicing status and participation metrics for internal use.

REQUIRED SKILLS & EXPERIENE

  • One to three years of experience in an administrative assistant, operations support, or related role.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks with accuracy.
  • Experience working in a CRM or database system (GrowthZone or similar preferred).
  • Comfort producing reports, lists, and well-organized documentation.
  • Strong written and verbal communication skills, with a professional, service-oriented approach.
