Summary

Purpose: The Project Coordinator is a vital member of the Advancement team, providing essential administrative, logistical, written communication and executional support to ensure the smooth implementation of fundraising initiatives and donor engagement efforts. Working closely with the Advancement Manager, Director, and cross-departmental teams, this role keeps projects on track and ensures details are well managed and deadlines are met.

This position enhances the donor and team experience through consistent data management, meeting coordination, event logistics, campaign support, and content organization, all of which contribute to advancing the mission of MomCo through operational excellence.

Key Responsibilities

Project Coordination & Execution
• Manage timelines, deliverables, and major project deadlines (e.g., campaigns, appeals, ministry reports, Capital Campaign, etc.).
• Coordinate cross-functional project execution with Marketing, IT, Leadership, Events, Outreach, and Development teams.
• Schedule and coordinate Advancement team meetings, donor calls, and key internal deadlines; take notes, track action items, and ensure follow-through.
• Maintain organized files and project assets in platforms like Teams, SharePoint, and Asana.
• Support grant submissions by assisting with documentation and deadlines.
• Coordinate and execute print pieces and direct mail appeals; track responses and ensure timely donor followup and acknowledgments.
• Ensure CRM and all related technology systems are updated and functioning accurately; input and maintain donor data and generate reports as needed.
• Maintain and update the Advancement content calendar to keep projects and deadlines visible and on track.
• Book travel for the Advancement team as needed.
• Order team’s office supplies and other items when needed

Storytelling & Communication
• Curate and catalog MomCo stories of impact, quotes, and testimonials for use in newsletters, reports, and donor communications.
• Draft and edit written communications including print pieces, emails, reports, and newsletters in partnership with Advancement leadership.
• Assist in proofreading and formatting digital and print content.
• Support the team in communicating Biblical Generosity in donor-facing materials and stay informed on best practices in messaging.

Event Support
• Support the planning and execution of donor events, including Champion Events at MOMCON (travel may be required).
• Manage RSVP lists and coordinate logistics for in-person and virtual events.

Professionalism & Team Support
• Represent MomCo with professionalism and discretion when interacting with staff, donors, board members, and strategic partners.
• Maintain a high level of confidentiality, integrity, and emotional intelligence in all interactions.
• Proactively identify and solve problems, take initiative on new tasks, and support the team with special projects.

Job Qualifications
• Follower of Jesus and able to faithfully sign and uphold the MomCo Faith and Values Statement.
• 2 years of professional development administrative experience.
• High level of efficiency, accuracy, and attention to detail.
• Strong administrative and organizational skills with ability to assess processes and make recommendations for improvements.
• Strong written and verbal communication skills.
• Effective interpersonal and relationship-building skills.
• Ability to take initiative, set goals and achieve them.
• High level of integrity and confidentiality in handling donor information.
• Strong spiritual character.
• Ability to multi-task, prioritize, and meet deadlines.
• Strong computer skills with proficiency in Word, Outlook, Excel and CRM.
