Your position as Coordinator 2 – Presenter Services, Conferences and Events is to support day-to-to operations of AWWA Presenter Services, ensuring multi-event success. Includes database management, data entry, program changes, processes, and procedures for all events. Also to ensure accurate CEU accreditation by leading the AWWA credit code process for all events. Lead Presenter Services operations at events, as assigned.
 
AWWA operates on a hybrid reporting schedule with at least 3 days in the Denver office and 2 remote reporting days.  This position requires up to 15% travel. 
 
Essential Functions:

  • Communicate effectively with internal and external stakeholders to ensure accuracy, efficiency, and meet deadlines.
  • Create code structure, overseeing onsite processes, submitting state applications, maintaining student transcripts, and following up with states on pending applications.
  • Manage database administration, data entry, online programs, AWWA continuing education logistics and assist with presenter services planning for assigned conference programs.
    • Collaborate with team to obtain, enter, and maintain conference program content, all related materials, and conference logistics within association management database beginning with opening event Calls for Abstracts (CFAs) and concluding with posting event Proceedings.
    • Manage program changes; proofread all related documents for program participants to ensure accuracy and make changes efficiently.
  • Ensure all required permissions are obtained for publication of presenter materials.
  • Assist in developing and maintaining the statistical data for assigned events.
  • Create and maintain presenter resources including info documents, slide packages, website pages and speaker portal pages.
  • Assist with workshop logistics one-on-one with facilitators and ensure Conference Managers have details for onsite success.
  • Support event and presenter needs onsite at assigned events with responsibilities for Presenter Ready Room, AV operations, and Volunteer Room Monitors.
  • Manage bulk presenter correspondence and individual inquires for events and AWWA continuing education logistics. Host presenter and staff trainings online and/or in person as needed.
  • Cultivate and develop relationships with AWWA existing and potential presenters, providing exemplary customer service.
  • As assigned, facilitate AWWA continuing education logistics (CEUs):
    • Provide attendee transcripts for conference programs, assist in creating AWWA Certificates of Completion, submit approved rosters with states within the required time.
    • Under the guidance of Manager of Event Delivery, file applications with states for CEU/PHD credit hours, follow up with states on pending applications.
  • Perform other duties and responsibilities as assigned including but not limited to:
    • Attend team meetings, phone conferences, and training as needed.
    • Know, understand, and follow employee guidelines, employment policies, and department or company procedures.
    • Shipping conference materials to and back from conferences and keeping inventory of supplies needed for all conferences.
  • Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position. Work schedule can include travel, evenings and/or weekends as required.

Requirements

Qualifications:

Education, Certifications or Formal Training:

  • Associate degree in related area required or equivalent combination of education and work experience in related area.
  • Virtual event experience preferred.

Work Experience:

  • Minimum of three (3) years administrative experience required
  • Minimum of one (1) year customer service experience required.
  • Minimum of one (1) year proofreading experience required.
  • Intermediate proficiency with database programs required.
  • Proficiency in MS Word, Excel, PowerPoint, Access, Teams and Outlook required; proficiency in HTML strongly preferred.
  • Familiarity with licensing and copyright issues preferred.
  • Familiarity with water and/or wastewater CEU and PDH compliance preferred.

Compensation/Benefits
Pay is dependent upon qualifications; Pay range is targeted between $23 – $25.33 per hour and is paired with a comprehensive benefits package that includes:
