Job Title: PEOPLE & OPERATIONS MANAGER
Reports to: CHIEF OPERATING OFFICER (COO)
Classification: FULL-TIME, EXEMPT

PURPOSE

POSITION OVERVIEW
At Invest in Kids, we owe our success to our programs and the efficiency of our organizational processes. To help maintain and grow this standard, the People & Operations Manager plays a key role in advancing the organization's people strategies—including payroll, talent acquisition, employee development, performance management, and employee experience—while overseeing key operational functions that support organizational effectiveness. This position serves in a non-managerial role and supports a positive employee experience while ensuring efficient day-to-day operations across the organization.

Aligned with the organization’s strategic priorities, the People & Operations Manager partners closely with the Chief Operating Officer to enhance internal capacity, improve operational processes, support Directors and staff, and help maintain a collaborative and compliant workplace environment.

This role requires a highly organized, solutions-oriented professional who can effectively manage multiple priorities in a dynamic environment.

ESSENTIAL DUTIES/RESPONSIBILITIES
People Management (70%)

Employee Experience & Support

  • Build effective working relationships with all employees.
  • Leverage an understanding of business needs and work closely with Directors and the COO to optimize human capital to meet strategic plans.
  • Serve as a primary point of contact for staff regarding organizational policies, procedures, and workplace practices.
  • Support a positive, collaborative, and mission-aligned workplace culture.
  • Provide guidance and support to Directors and employees regarding day-to-day personnel matters and organizational practices.
  • Lead the performance management process and partner with supervisors to support effective performance management processes, including goal setting, employee development conversations, and appropriate documentation practices.
  • Review metrics to derive insights and uses those insights to solve challenges and improve processes.

Talent & Onboarding

  • Responsible for implementing the workforce and talent agenda that attracts the right people in a competitive market and drives organization productivity.
  • Coordinate recruitment and hiring processes in partnership with hiring managers and the COO, including interview logistics, employment offers, pre-employment requirements, new hire documentation, orientation, and onboarding to ensure a successful transition into the organization.
  • Manage employee lifecycle processes, including position changes, leaves, and offboarding, while maintaining accurate personnel records and supporting a positive employee experience throughout employment.
  • Co-lead organizational learning, training coordination, and professional development initiatives.
  • Assist in the administration and continuous improvement of performance management and employee development processes.
  • Coordinate employee engagement initiatives and organizational culture activities.

Compliance & Administrative Oversight

  • Own payroll administration processes, including processing payroll, maintaining accurate employee information, reviewing payroll changes, coordinating employee deductions and benefits updates, and partnering with Finance to ensure timely and accurate payroll reporting and reconciliation.
  • Maintain working knowledge of applicable employment practices and organizational compliance requirements.
  • Lead the administration of personnel files, benefits coordination, leave tracking, and employee records.
  • Partner with the COO and external advisors to support compliant organizational practices and policies.
  • Assist with the development, implementation, and maintenance of organizational policies, procedures, and internal documentation.

Systems & Process Improvement

  • Identify and implement opportunities to strengthen human resource infrastructure, including improving workflows, systems, and processes that enhance employee experience and organizational effectiveness.
  • Support implementation and administration of organizational systems and culture tools.
  • Maintain and improve internal procedures that strengthen organizational effectiveness and employee experience.

Operations & Office Management (30%)
Organizational Operations (20%)

  • Assist in the design, coordination, and continuous improvement of organizational systems and operational processes aligned with strategic priorities.
  • Maintain regular communication with staff, senior leaders, and vendors to support effective organizational operations.
  • Coordinate scheduling and calendars for organizational meetings, trainings, retreats, and internal events to ensure effective planning and participation.
  • Manage relationships with operational vendors and troubleshoot operational issues to minimize disruptions.
  • Maintain operational records, procedures, and organizational documentation.
  • Provide limited coordination and scheduling support for the Executive Leadership Team, including executive meetings, leadership priorities, and organizational planning activities.
  • Provide limited high-level administrative support to the CEO and COO related to key meetings, priorities, and leadership operations.
  • Monitor operational expenses and assist in identifying solutions to address budget variances.

Office Management (10%)

  • Oversee office operations, supplies, equipment, and shared organizational resources in a cost-conscious manner.

  • Foster a welcoming, organized, and functional office environment for staff and visitors.

REQUIRED QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Organizational Leadership, Human Resources, or related field, or equivalent professional experience.
  • Minimum of 3–5 years of progressive experience in human resources, employee relations, talent management, or people operations, with additional experience supporting organizational operations and administrative functions.
  • Extensive knowledge of payroll processing, compensation and benefit policies and programs, and employee relations practices.
  • Strong organizational, communication, analytical, and problem-solving skills.
  • Demonstrated ability to manage multiple priorities while maintaining confidentiality and professionalism.
  • Proficiency with Microsoft Office Suite.
  • Proficiency with or the ability to quickly learn the organization’s HRIS and talent management systems.
  • Working knowledge of Federal, state/province and local employment laws.
  • Understanding of talent acquisition techniques, including recruitment, interviewing skills, and selection.
  • Strong problem-solving skills, including the ability to think critically and proactively find solutions.
  • Strong commitment to Invest in Kids’ mission and belief in the value of non-profit work in service to our community.

PREFERRED QUALIFICATIONS

  • Experience in nonprofit or mission-driven organizations.
  • Experience administering HRIS systems, preferably Paylocity, with the ability to leverage technology to improve HR processes, reporting, and employee experience.
  • Experience supporting employee engagement, learning, or organizational culture initiatives.
  • HR certification or professional development coursework.
  • Experience working with external compliance, legal, or HR advisors.

SALARY

  • This position receives an annual salary range of $76,584 – $79,650, depending on related experience and education.

FULL TIME EQUIVALENT

  • Full time (40 hours per week) Hybrid in-office/remote currently available. Two days in the office are required.
