SUMMARY:  The Philanthropy Manager is responsible for managing the day-to-day operations of Breckenridge Grand Vacations’ philanthropy programs. This role involves working closely with all departments within BGV Gives, including Sustainability and Employee Engagement, as well as all other BGV departments, to enhance the company's positive community impact and philanthropic efforts. Responsibilities include managing all grants, sponsorship and in-kind giving, tracking and reporting on all contributions, creating an annual budget, supporting fundraising events, managing the Volunteer Time Off program, overseeing the Employee Assistance Fund, and creating overall awareness of BGV’s philanthropy. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: Including but not limited to:  

  • Program Management: Oversee the development, implementation, and evaluation of all philanthropy programs, including grant-making, sponsorships, and in-kind giving. Ensure that all programs align with BGV's strategic triple bottom line philosophy (People, Planet, Prosperity) and overall BGV Gives objectives. Develop detailed project plans, set timelines, and manage resources to ensure successful program execution. Monitor program performance, collect and analyze data, and prepare comprehensive reports to measure the impact and effectiveness of each program. Continuously seek opportunities to improve and expand philanthropy initiatives to maximize community benefits.
  • Collaboration: Work closely with the Sustainability team to support sustainability initiatives and with the Employee Engagement team to enhance employee satisfaction via volunteer efforts, philanthropy, participation in non-profit events and other avenues.
  • Fundraising: Collaborate with BGV’s Events Coordinator to successfully execute fundraising events. Develop and execute strategies and processes for obtaining individual and business donations for multiple programs, as well as major donor gifts and sponsorships for RAM Legacy in Action, as well as new fundraising programs and special campaigns, as identified.
  • Grants: Receive, organize and track all grant applications. Manage the various BGV funds within The Summit Foundation including the BGV Donor Advised Fund, The Rob Millisor Heart Health Fund and the BGV Endowment Fund and corresponding grant processes. Work with The Summit Foundation to distribute grants.
  • Donation Requests: Handle and respond to all in-kind and cash donation requests via Fluxx, BGV’s online grants portal.
  • Volunteer Efforts: Coordinate the Company’s various volunteer efforts. Promote the Volunteer Time Off (VTO) Program, oversee the Volunteer Champions Committee, and coordinate volunteers for events including but not limited to the Friends of the Dillon Ranger District volunteer days, The Summit Foundation Golf Tournament and Rubber Duck Race, and RAM Legacy in Action.
  • Measurable Results: Work with the Director of BGV Gives to create and maintain metrics to track success, as well as write and distribute regular reports regarding the Philanthropy Program impact, successes, and opportunities.
  • Awards: Support nominations and related tasks for BGV and community awards related to philanthropy.
  • Administration: Coordinate all philanthropy related meetings including obtaining locations, notifying attendees, tracking RSVP’s, taking meeting minutes, tracking open action items, and all other meeting related logistics. Maintain donor and volunteer contacts. Work with The Summit Foundation on administrative functions such as accounts payable, thank you notes and other tasks, as identified.
  • Employee Assistance Fund: Serve as the Chair of the Employee Assistance Fund Committee, as requested.
  • Sponsorships: Coordinate with BGV’s Philanthropy Coordinator to manage all event sponsorship benefits, tickets, Backstage Theatre tickets, The Eclipse Theatre tickets, golf teams and other employee participation/attendance at community events and post all volunteer and community event opportunities via the Timely application.
  • Management: Manage Philanthropy staff and follow the Results Leadership operating procedures when recruiting, hiring, training, retaining, developing, coaching, scheduling, reviewing, disciplining, and terminating staff. 
  • Provide guidance and support and be a team leader. 
  • Ensure all training is thorough, occurring regularly, conducted in a way that drives results and ensures consistent staff knowledge and performance. Assist with training as needed.
  • Delegate daily work tasks and projects and check the work of all staff to ensure quality control. Ensure staff is productive.
  • Work with staff to resolve issues, always considering what the guest or owner deems appropriate. Handle any guest or owner that the staff is unable to assist. Consult with department managers on issues, as needed. 
  • Perform staff evaluations and coaching meetings. Provide feedback and coach employees on ways to improve their performances and establish goals. Follow up with employees to evaluate progress and ensure improvement.
  • Respond to staff questions and inquiries pertaining to resort policies and services.
  • Establish, communicate, and reinforce Company policies, procedures, and standards with the staff. 
  • Monitor staff performance and measurable results and manage individual performance. 
  • Keep accurate staff performance records to ensure job performance accountability. Handle and track all staff tardiness, sick days, and absenteeism.
  • OneBGV Collaboration: Coordinate with various BGV employees and departments as needed, such as BGV’s Marketing and Resort Operations.
  • Budget, Spending and Investment Oversight:  Develop annual BGV Gives Program budget, manage to budget throughout the fiscal year, and recommend how funds raised should be distributed/invested in order to maximize BGV Gives Program’s impact.
  • Culture & Service: Uphold Hospitality Standards, Company culture and observe Company policies and procedures.
  • Exhibit and maintain a high level of confidentiality and exercise good judgment with critical and sensitive information, records, and reports.
  • Respond promptly to all email and voicemail correspondence.
  • Re-direct questions and inquiries to appropriate points of contact as needed.
  • Maintain a positive working relationship with all employees and vendors, always being helpful and courteous.Adhere to Company appearance standards at all times; dress professionally and wear name badge when required.
  • Attend, support, develop and/or conduct company training sessions and meetings; attend outside training sessions as needed.

 

MARGINAL DUTIES: Functions that are not considered essential to the job:  

 

  • Marketing, Public Relations and Communications – Collaborate with other members of the department to promote BGV Gives via external and internal communications within the community including events, print media, social networks, TV and radio. Ensure brand continuity by reviewing any external communication with BGV Marketing. Maintain www.BGVGives.org. Establish and maintain effective philanthropic relationships within the community to support the success of the BGV Gives Program. Represent the BGV Gives Program at various events, meetings, etc.
  • Perform other duties as assigned.
  • Follow Company guidelines for environmental sustainability practices (recycling, composting and conserving resources) and participate in the Company’s sustainability initiatives.

EDUCATION / EXPERIENCE:  

  • 2 years philanthropy or non-profit leadership experience, required
  • Bachelor's degree (B.A.) from a four-year college or university, preferred
  • Fundraising, marketing and/or event experience, preferred.

COMPUTER EXPERIENCE:  Advanced working knowledge of Microsoft Office programs (Outlook, Word, Excel, PowerPoint) with a minimum of two years’ experience with these programs. Ability to operate office equipment such as copier, fax, scanner, phone and calculator. Ability to type by touch, operate a personal computer and accurately record time worked, in the correct department, using the Company time keeping system. Ability to perform research on the internet.   

 

CERTIFICATIONS and/or LICENSES: Must be at least 21 years old with a valid driver license and an acceptable driving record.

 

REQUIREMENTS: Reliable mode of transportation required. Some evening and weekend work responsibilities are required at various times throughout the year.

 

LANGUAGE ABILITY: Ability to speak, read, write and interpret in English. Ability to read and interpret business correspondence, general business periodicals, governmental regulations, instructions, job descriptions, professional journals, reports, rules, schedules and technical and work procedures. Ability to write business correspondence, instructions, presentations, procedures, reports and schedules. Ability to speak effectively and present information in one-on-one and large group situations to employees of the organization, management and outside vendors. Ability to communicate in Spanish is preferred.  

 

MATHEMATICAL SKILLS: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, percent, discounts, interest, commission and percentages. Ability to draw and interpret bar graphs.
