KEY ROLES & RESPONSIBILITIES

The Project Coordinator for the Office of the CEO plays a critical role in supporting key projects and initiatives within the Office of the CEO to add key capacity and efficiency to support our achievement of DSST’s Big 5 Goals. This individual will work closely with the Chief of Staff and Executive Assistant to coordinate efforts related to Organizational Effectiveness, Board Management, and the Senior Leadership Team (SLT), ensuring alignment with the CEO’s priorities and organizational goals. This position requires excellent project management skills, attention to detail, and leveraging digital systems and AI to maximize efficiency. This role will report to the Chief of Staff and be a team member in the Office of the CEO. 

AREAS OF FOCUS

Provide coordination and support for essential functions within the Office of the CEO related to CEO effectiveness, Board of Directors effectiveness, and organizational effectiveness:

  • Executive & Board of Directors Effectiveness (45%)

    • Support the Executive Assistant to execute high-quality project management and tasks for board engagements, including: 

      • Compiling Board Books, agendas, and other key materials 

      • Assisting with set-up and take-down of board meetings 

      • Assisting with board engagement logistics (reserving space, communicating with host on logistics, securing food and drink) 

      • Coordinating recognition moments & honorees at each board meeting

      • Provide support for scheduling and communication for committees led by the CEO

    • Support the Executive Assistant to execute high-quality project management and tasks for senior leadership engagements, including: 

      • Coordinating guest calendar invites for meetings 

      • Creating meeting deck templates 

      • Assisting with senior leadership team logistics with extended meetings and engagements (reserving space, communicating with host on logistics, securing food and drink)

  • Organizational Effectiveness (45%) 

    • Support the Chief of Staff to execute high-quality project management for organizational effectiveness, including: 

      • Coordinating Home Office teammate presence in schools for support 

      • Coordinate and maintain key communication structures (Home Office Digest newsletter, Home Office Hub, Home Office organization chart) 

      • Monitor and manage home office voicemail system, ensuring timely retrieval and accurate relay of messages to appropriate team members

      • Assist with welcoming guests of the CEO and President

    • Develop and maintain additional systems and structures to support organizational effectiveness 

  • Miscellaneous administrative support (5%) 

    • Execute credit card reconciliation for members of the senior leadership team, where applicable 

    • Coordinate and execute additional high-leverage projects and tasks identified by the CEO, Chief of Staff, or Executive Assistant 

  • Additional Duties (5%)

    • Play an active leadership role in building and sustaining Home Office culture

    • Engage with our school communities to actively build relationships between our schools and the home office

    • Participate in & support the execution of Home Office & Network-wide events

MINIMUM QUALIFICATIONS:

  • No bachelor’s degree required; we value relevant experience, transferable skills, and a passion for DSST’s mission.

  • Excellent organization, time management, and follow-through; a high sense of urgency

  • Ability to thrive and manage multiple priorities in a fast-paced entrepreneurial environment and manage multiple priorities 

  • Proficiency in project management tools and Microsoft Office Suite, including AI 

  • High attention to detail and organizational skills

  • Deep personal and professional commitment to DSST’s mission and core values Respect, Responsibility, Integrity, Courage, Curiosity, and Doing Your Best

IDEAL QUALIFICATIONS:

  • Bachelor’s degree or degree in process

  • Alumni of DSST Public Schools (strongly preferred)

  • 2+ years of experience in project coordination, executive support, or strategic operations, preferably in an education context 

  • Self-starter who thrives in a fast-paced, collaborative environment
