Position Summary
The Rector's Assistant is a ministry partner with the Rector and parish staff, serving as the primary administrative assistant to the Rector while helping ensure the smooth and effective operation of the parish. As one of the first people parishioners and visitors encounter, the Rector's Assistant embodies Christian hospitality, professionalism, discretion, and joyful service.
Working Relationships
Reports directly to the Rector and works collaboratively with the Associate Rector, Director of Children, Youth, and Family Ministry, Director of Music, Data & Finance Associate, Building Manager, Vestry officers, ministry leaders, volunteers, and parishioners.
Essential Functions
- Welcome parishioners and visitors with warmth and professionalism.
- Manage the Rector's calendar, appointments, meetings, travel, and correspondence.
- Assist in preparing and printing worship bulletins, seasonal liturgies, worship registers, and sacramental records.
- Maintain an appropriate level of office supplies and maintain efficient office systems.
- On a weekly basis, tidy the church and pews, including parishioner nametags.
- Prepare Vestry agendas, packets, reports, and minutes.
- Coordinate weekly parish communications, newsletters, stewardship, and capital campaign correspondence.
- Maintain the parish calendar, membership database, and confidential clergy, personnel, and pastoral files.
- Coordinate administrative details for baptisms, weddings, funerals, memorial services, and facility scheduling.
- Support the Ascension formation ministries.
- Provide administrative support for parish events, Annual Meeting, receptions, and special liturgies.
- Perform additional responsibilities, as assigned by the Rector.
Qualifications
- Administrative experience in a church, nonprofit, or professional office preferred.
- Excellent written, verbal, organizational, and interpersonal communication skills.
- High level of discretion and commitment to confidentiality.
- Proficiency with Microsoft Office, Google Workspace, Outlook, Zoom, and willingness to learn Realm (or similar database management system), Canva, and website content management.
- Ability to manage multiple priorities with accuracy, flexibility, and grace.
- Appreciation for the mission and ministry of The Episcopal Church.
Compensation & Benefits
- 24 hours per week (Monday–Thursday, 9:00 a.m.–3:00 p.m.).
- $25.00 per hour.
- Lay pension benefits.
- Paid leave in accordance with Church of the Ascension personnel policies.
Employment Requirements
- Successful criminal background investigation.
- Successful financial background check.
- Completion of The Episcopal Church's Safe Church, Safe Communities training before employment begins.
- Authorization to work in the United States.
Physical Requirements
- Ability to move throughout the church campus and lift up to 25 pounds.
- Ability to use standard office equipment.
- Occasional evening or weekend availability during Holy Week, Easter, Christmas, Annual Meeting, and other major parish events.
A Ministry of Hospitality
This position is more than an administrative role. The Rector's Assistant shares in the ministry of the Church by extending Christ's welcome to every person, supporting the clergy and staff, strengthening parish life, and helping the Church of the Ascension faithfully proclaim the Gospel of Jesus Christ.
