The Job
The Administrative Coordinator plays a crucial role in providing comprehensive administrative support within the Boulder or DC office. Key responsibilities include ensuring effective communication, managing project implementation, and overseeing a variety of administrative tasks in support of assigned programs. The role interacts directly with staff in a variety of departments, plus leadership and other stakeholders, including committee members and a variety of volunteers, requiring exceptional responsiveness and customer service. Additionally, the Administrative Coordinator is instrumental in developing and refining processes to achieve organizational goals. Key Essential functions include but are not limited to:
- Provides primary administrative support for assigned programs and departments, including support for senior leaders as requested. Manages scheduling, travel arrangements, reimbursement and invoicing processes upon request.
- Facilitates key aspects of assigned initiatives, such as the application, review, selection, tracking, fulfillment, and reporting for travel grant programs.
- Gathers and submits marketing text and website updates
- Inventories and replaces supplies as needed
- Answers help requests from members, attendees, volunteers, and program participants.
- Supports GSA committees and volunteer groups by scheduling meetings, taking minutes, and facilitating communication.
- Contributes to the success of GSA meetings by preparing materials, packing/shipping, supporting on-site activities, and efficiently completing pre-, during-, and post-meeting duties for assigned programs and projects
- Collaborates with departmental teams to gather data for statistics and create reports as requested.
- Answers phone, and monitors shared email inboxes.
- Ensures that shared files, inboxes, and calendars are up-to-date and organized to ensure accuracy.
- Provides the highest level of customer service, including timely responses to external and internal inquiries in a professional and friendly manner.
- Participates in GSA staff/team meetings, various committee meetings, and external engagements as required, with an emphasis on active virtual attendance via platforms like Zoom.
- Flexibility to take on other duties and collaborate across departments to support evolving organizational needs.
- Other duties as assigned.

- Does not supervise others.
Qualifications
- An Associate’s degree is required, though additional education or certifications will be favorably considered. At least two years of relevant administrative experience is preferred.
- Dedication to continuous learning, professional development, and innovation, actively seeking opportunities to enhance skills and contribute to the advancement of the organization.
- Highly detail-oriented with a commitment to accuracy and the ability to produce precise work consistently in a fast-paced, accountability-driven environment.
- Proficiency in MS Office, Adobe, Google Suite, iMIS, Asana, and online meeting platforms like Zoom is essential. The ability to quickly adapt to new software and systems is required.
- Exceptional verbal and written communication skills are necessary.
- Initiative, critical thinking, creativity, analytical reasoning, and effective process management.
- Ability to work both independently and collaboratively, with a professional demeanor and the capacity for mature judgment in interactions with all levels of society members, staff, and external contacts. Skills in building and maintaining diverse and multicultural relationships are crucial.
- A background or strong interest in geoscience and experience in non-profit or association settings is preferred.
- Required ability to maintain confidentiality and effectively organize and prioritize numerous tasks and deadlines.
- The highest ethical standards and strong commitment to upholding GSA’s scientific integrity initiatives and RISE policies are required.

Working Environment / Physical Activities
- Extensive computer work (six or more hours per day).

- Travel: Requires occasional national and potential international travel.
The opportunity is a full-time, exempt, flexible position with a desired base in the Boulder, CO Headquarters with a Hybrid work schedule. The hourly rate is $24.00 – $28.00 per hour.
