Summary

As an Association Manager, you will support the Etherio Client -Mile High SHRM- a thriving association in membership, communications, events, and registration. The Association Manager is a key member of the Etherio Association Management team, supporting the client’s Executive Director and Board of Directors. This role is responsible for the association's effective administration, communication, and overall operations.

The Association Manager works closely with board members, volunteers, staff, and vendors to facilitate membership management, programming, website maintenance, marketing, conference planning, and to ensure organizational excellence.

ESSENTIAL FUNCTIONS
Association Management

  • Operate in compliance with association-specific policies.
  • Respond to client requests in a timely, professional manner.
  • Work effectively with volunteer committees and interface with association members.
  • Support the overall goals and objectives of the association through additional responsibilities as required.
  • Provide input into client and Etherio Association Management Business Unit operations, processes, procedures, and policies.

Board and Governance Support

  • Prepare and update dashboards using data from multiple sources (Finance, Membership, etc.)
  • Attend board meetings, assist with meeting minutes, and update the Board Listserv and Basecamp access.
  • Assist with Gmail setup and troubleshooting for board members.

Website Management

  • Create and update homepage sliders and event sections (using Canva and internal concepts).
  • Edit and maintain website content and photos with occasional IT support.
  • Manage applications and custom forms for various association programs.
  • Track and report website usage data.
  • Update sponsor pages on the website.

Membership and Volunteer Coordination

  • Input and update member profiles daily.
  • Input and update profiles for new members in coordination with SHRM national.
  • Manage welcome communications and onboarding for new members.
  • Prepare and distribute monthly membership reports.
  • Handle invoicing and renewal communications.
  • Coordinate with SHRM on membership issues.
  • Import members into member benefit tools.
  • Support Membership 101 and volunteer engagement programs.
  • Track volunteer involvement and assist with the creation of digital volunteer spaces.

Programming and Event Support

  • Attend programming meetings, coordinate with speakers, and create events.
  • Set up and support virtual and in-person events (Zoom meetings, registration, reminders).
  • Upload session recordings to YouTube and the website.
  • Create and evaluate surveys for event feedback and compile data for speakers.
  • Track event attendance and prepare related reports.
  • Create signage, nametags, and collateral materials.
  • Handle event check-ins, prepare materials, and issue refunds or promo codes as needed.

Sponsorship

  • Support exhibitor/sponsorship e-commerce products.

Marketing and Communications

  • Draft and send all Constant Contact emails, newsletters, flyers, and text messages.
  • Coordinate sponsored eBlasts and manage weekly newsletters.

Conference Management

  • Manage event registration and the conference app.
  • Track registration and exhibitor metrics.
  • Oversee email marketing for conferences and manage related promo codes.

General Operations

  • Manage association email inboxes and phone line, responding to member and non-member inquiries.

MINIMUM AND PREFERRED QUALIFICATIONS

  • Bachelor’s degree or equivalent experience
  • Three years of business experience, preferably in non-profit membership organizations.
  • Demonstrated achievements in project management, organizational skills, and administrative responsibilities.
  • Excellent oral and written communication and interpersonal skills, including presentation and networking skills.
  • Proficiency in Microsoft Office (Word and Excel) required, with the ability to learn new software.
  • Familiarity with Association Management Software and Web Content Management Systems.
  • Proficient in database management and communication systems.

WORKPLACE LOCATION REQUIREMENTS

  • This position is hybrid (working as a combination of remote and Colorado in-office presence) as well as the possibility of being onsite at client and/or event locations. Colorado residency is required.

TRAVEL REQUIREMENTS

  • Very limited travel

SCHEDULING REQUIREMENTS

  • Requires flexibility in scheduling, such as working evenings and weekends to meet clients, events, or company needs.
