Business Operations Manager

Mackintosh Academy – Boulder, an independent K–8 IB World School, is seeking a Business Operations Manager for the 2025–2026 school year. Mackintosh is a co-educational school dedicated to serving gifted students through a values-based, globally minded, and inquiry-driven program. Position Summary
The Business Operations Manager plays a vital role in supporting both the daily operations and long-term sustainability of Mackintosh Academy – Boulder. Working closely with the Head of School and external financial partners, this position oversees human resources, internal financial systems, risk management, facilities, and technology. This is a hands-on role ideal for someone who thrives in a dynamic, collaborative, and values-driven environment.
Key Responsibilities:
Business Operations (60%)
– Business Office Support:

Serve as internal liaison to the school’s outsourced bookkeeping and CFO teams; ensure accurate coding, timely invoice submission, and reliable financial reporting

Manage internal business functions including credit card app management, purchasing, vendor contracts, insurance renewals, and compliance calendars

Support annual budgeting process and monitor actuals-to-budget throughout the year in collaboration with the Head of School and CFO

Oversee tuition tracking, payment plans, and liaise with families regarding billing questions

Ensure compliance with licensing, safety regulations, emergency preparedness protocols, and accreditation standards

Assist with grant and donation tracking as needed
Facilities Oversight

Directly manage the school’s Facility Manager who oversees daily maintenance, cleaning, and operations

Collaborate with the Head of School and Facility Manager to plan and implement long-range facilities maintenance and capital improvements

Oversee renovation and improvement projects; coordinate setup for meetings and events, including AV/tech needs; support staff training in facility use

In conjunction with Facility Manager, coordinate vendor scheduling for repairs, maintenance, and safety inspections
Technology Oversight

Oversee the school’s technology program, ensuring that classroom and staff technology needs are met

Provide oversight of the school’s external IT vendor; conduct annual vendor assessments

Manage the Blackbaud database system, including account setup, staff and family training, and ongoing system optimization
Human Resources (30%)

Serve as the primary HR contact for all staff; co-lead hiring processes in collaboration with hiring managers by overseeing job postings, applicant tracking, compliance requirements, and hiring best practices

Coordinate onboarding, benefits administration, and ensure adherence to HR policies and employment regulations

Source and attend relevant HR training; serve as liaison to Employers Council, the school’s external HR consulting partner

Maintain accurate personnel records and ensure compliance with employment laws and school policies

Coordinate payroll and benefits administration with third-party providers

Guide annual contract renewals and compensation adjustment letters

Support performance management systems, professional development logistics, and employee relations
Administrative Support (10%)

Serve as a member of the Administrative Team, which includes additional committee work such as serving on the Tuition Assistant committee, as well as the Risk Management committee

Support, maintain, and offer improvements to key administrative systems and school operations

Coordinate allocation and scheduling of school resources (e.g., classrooms, transportation, shared equipment)

Provide administrative oversight of after-school programs and employees; serve as administrator on duty during aftercare and assist with end-of-day building closure
- Promote and support a school culture rooted in collaboration, communication, and inclusion
- Perform additional duties as assigned by the Head of School
Qualifications

Bachelor’s degree in business, nonprofit management, HR, or related field required; advanced degree or relevant certification a plus

3–5 years of experience in business operations, HR, or administration (school or nonprofit setting preferred)

Working knowledge of employment law and HR best practices, or willingness to learn.

Experience collaborating with outsourced finance and/or payroll teams

Proficiency in Google Workspace and Excel; experience with QuickBooks, HRIS systems, and school databases (e.g., Blackbaud) strongly preferred

Excellent communication, discretion, and organizational skills

Compensation & Benefits
- Salary range: $65,000–$80,000, commensurate with experience
