Mines is excited to announce an opening for an Events Manager. 

In this dynamic role, you'll be responsible for supporting internal scheduling and external rental events. You'll serve as the primary contact and event manager for rental clients and assist with the campus space reservations and event support.   You will supervise event support student employees.

Description of Job

Primary Responsibilities:

Event Administration 

  • Respond to rental inquiries in a timely, effective and proactive manner

  • Provide professional guidance to clients, make recommendations and advising clients on the?event resources, AV set-up, facilities, and services available, in order to best match client needs and expectations.

  • Schedule and provide venue tours.

  • Prepare contracts and rental documents.

  • Prepare invoices and collect income from external rentals.

  • Provide one-on-one coordination meetings with clients prior to their rental as needed.

  • Develop rapport with and maintain close working relationships with departmental and university constituents and external clients and constituents.?

Event Operations 

  • Ensure adequate on-site support of events, including evening or weekend work, as needed.

  • Assure the retention of systematic, detailed and chronological electronic records of all correspondence and planning details for each client or event in EMS software.?

  • Schedule A/V techs and event support staff as needed

  • Provide day-of event logistics coordination and management

  • Create diagrams for events using Prismm software

  • Facilitate meetings with clients, catering, custodial supervisor, and facilities management staff to discuss requirements of upcoming events.?

Student Employee Supervision 

  • Hire, train, supervise, schedule, and evaluate event support student employees.

Department Administration 

  • Assist in developing and implementing applicable policies, regulations and procedures related to external rental events.

  • Provide recommendations and budget requests for facility and equipment improvements.

  • Manage student timesheets, contracts, and student labor/operational budgets related to student employee supervision.

  • Monitor meal periods in campus dining venues during summer conferences.

  • Manage other Conference and Event Services programs and responsibilities as needed.

Client Relations and Marketing

  • Assist Director with marketing campaigns for strategic outreach in collaboration with the Associate Director of Operations and the Marketing and Communications Department.

  • Coordinate marketing, publications, and client relationships with Mines ProEd, internal and external clients.

  • Collaborate with the Director of Auxiliary Services on catering needs for Conference and Event Services.

  • Partner with Associate Director of Operations to update website as needed for conference and events.

Salary and Benefits

$63,000 – $68,000 annual salary

Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications

  • Four years professional experience in a university or association setting or a bachelor’s degree from an accredited four-year institution of higher education

  • Demonstrated working knowledge of software databases

  • Exceptionally strong organizational, interpersonal, verbal and written communication skills

  • Experience and commitment to working effectively with diverse populations

  • Flexible and positive demeanor

  • The ability to develop and maintain a good rapport with students, faculty, staff and clients

  • Excellent attention to detail and experience developing design safeguards to prevent planning errors.

  • Knowledge of conference and event scheduling software system.

  • Excellent communication and interpersonal skills; the ability to work collaboratively with students, faculty and staff; outstanding administrative and planning abilities.

Preferred Qualifications

  • Master’s degree from an accredited four-year institution of higher education.

  • Experience with EMS software.?

  • At least 2 years of experience with progressive responsibilities in event management in a university or association setting.

  • Experience in budget development, financial systems, and operating budget management.

  • Proven relationship building skills with internal and external stakeholders.
