Here's a summary of responsibilities:
The Manager, Stewardship Operations plays a critical operational role in supporting timely, seamless, and high-quality stewardship and onboarding experiences for U.S. Olympic & Paralympic Foundation (USOPF) donors. This position supports the execution of donor engagement plans by managing the logistics, project management and processes that power personalized and consistent donor touchpoints.
Working closely with the Stewardship Manager, Major Gifts, Director, Stewardship Giving Level Leads, and cross-functional teams, the Manager ensures that onboarding and the donor journey is consistent and aligned with gift level to implement donor touchpoints, manage onboarding logistics, and ensure accurate data capture and fulfillment. The Manager, Stewardship Operations serves as the primary point of contact for frontline staff requesting gifting support.
Here's how you'll have an impact:
Stewardship Operations Management (50%)
- Develop annual, quarterly, and monthly operations plans to support the successful execution of stewardship activities designed by the stewardship managers and various stakeholders
- Serve as the project manager for donor touchpoints – including mailings, webinars, and milestone recognition – ensuring timely and accurate delivery.
- Lead planning for annual stewardship gifting, including budget management, product selection, vendor coordination, and inventory oversight. Ensure timely delivery of stewardship materials and experiences in collaboration with the Stewardship Operations Specialist.
- Develop and oversee the process for managing donor pledge installments, including tracking, scheduling, and fulfillment. Collaborate closely with colleagues to ensure pledge reminders are appropriately timed and tailored, taking into account each donor's preferences, circumstances, and overall experience.
- Maintain stewardship calendars and assist with tracking progress against planned activities.
Onboarding & Donor Experience Execution (30%)
- Collaborate with stewardship, donor engagement, and fundraising stakeholders to support a consistent, high-touch onboarding experience for all major and principal-level donors
- Ensure timely delivery of welcome communications, acknowledgments, and experiences appropriate to each giving level
- Manage onboarding workflows in Salesforce, ensuring all steps are logged and tracked with appropriate follow-up and documentation.
- Serve as the primary point of contact for onboarding-related inquiries from MGOs and Giving Level Leads.
Data Management & Reporting (15%)
- Ensure accurate and timely data entry in Salesforce related to onboarding and stewardship activities.
- Monitor donor journey data for completeness and flag gaps or inconsistencies.
- Lead the generation of reports and dashboards that support stewardship planning and execution.
Team Coordination & Support (5%)
- Collaborate with cross-functional teams to ensure smooth handoffs and alignment across donor engagement efforts.
- Support administrative tasks such as invoice processing and contract approvals.

- Bachelor's degree in nonprofit management, communications, or equivalent professional experience.
- Minimum of 5+ years of experience in donor stewardship or nonprofit fundraising.
- Proven success in managing donor relationships and delivering personalized engagement.
- Experience working with major gift portfolios and cross-functional teams.
- Familiarity with CRM systems and donor data management.
- Strong interpersonal and relationship-building skills.
- Strategic planning and execution capabilities.
- Excellent written and verbal communication.
- Attention to detail and ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite and project management tools.

Here's some more information you need to know:
- Hiring pay range $62,600 – $77,200 per year
- This Full-Time, Exempt position is intended to work 40 hours per week.
- Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 15% target. The USOPC may change or eliminate this program at any time at its sole discretion.
