Reports To:            OTIEC Program Director / Program Manager
Shift:                          8:00 am to 4:30 pm, Monday – Friday with some flexibility required based on course schedule
Status:                      Full-Time
Work Location:     On Site, Located in our Denver, CO office.
 

Job Summary:

The OSHA Training Institute Education Center (OTIEC) Program Coordinator provides administrative and operational support for OSHA training throughout Colorado, Montana, North Dakota, South Dakota, Utah, and Wyoming. Responsibilities include coordinating training schedules, assisting with compliance documentation, and fostering positive relationships with host sites and industry partners. This role is essential in helping the OTIEC reach more workers and maintain organized, high-quality safety education.

 

Essential Duties & Responsibilities:
  • Course Logistics & Scheduling: Manage course logistics for virtual and in-person training, including scheduling, materials preparation, online promotion, and registrant follow-up. Reserve and set up/tear down on-site CEF training rooms.
  • Participant Communication: Respond to routine inquiries and send timely reminders, confirmations, cancellations, and post-course emails to students. Roster: Create, update, and close participant rosters in our membership management software and tracking spreadsheets.
  • Materials Management: Prepare and organize course folders, agendas, and related materials; ensure required publications are in stock for in-person courses.
  • Data Entry & Record Management: Accurately enter and update student and member data in membership management software, internal spreadsheets, and OSHA databases.
  • Compliance Support: Support the OTIEC Team in maintaining compliance documentation required by OSHA and internal procedures. Assist in tracking outreach training requirements and supporting audit preparation.
  • Marketing & Communications Support: Create and send course-related email communications; assist in updating marketing materials and training resources under the direction of the Program Director.
  • Perform other duties as assigned.

 

Knowledge, Skills, Abilities (KSAs):
  • Course & Program Coordination: Ability to support the scheduling and delivery of multiple training programs simultaneously, with strong attention to logistics and follow-through.
  • Regulatory Awareness: Basic familiarity with OSHA standards and compliance requirements; commitment to strict adherence to state and federal regulations.
  • Data Management: Skill in accurately entering, updating, and maintaining records across multiple systems (Wild Apricot, internal drive, OSHA databases, spreadsheets).
  • Customer Service: Ability to provide exceptional, responsive service to a diverse range of stakeholders including students, instructors, and host sites.
  • Written & Verbal Communication: Clear communication across multiple formats including email, reminders, and course materials.
  • Technology Proficiency: Proficiency in Microsoft Office Suite and Google Workspace; experience with membership or event management software (e.g., Wild Apricot) preferred.
  • Organizational Skills: Ability to manage multiple priorities and deadlines concurrently with minimal supervision.
  • Team Collaboration: Ability to work effectively as part of a team and support colleagues in achieving shared program goals.

 

Minimum Qualifications:
  • High school diploma or equivalent required.
  • Minimum of two (2) years of experience in program coordination, administrative support, or a related field.

 

Working Conditions:

Ability to sit and stand for extended periods. May lift up to 25 lbs. on occasion. Primarily office-based work with varying temperatures and extended screen time.

Compensation:

Pay Range:             $26.00–$33.00 per hour, based on experience
