Description

The International Association for the Study of Lung Cancer (IASLC) is the premier international membership association for physicians, researchers, and medical professionals, who are dedicated to conquering lung and thoracic cancers worldwide.  The Conference Coordinator provides essential operational and logistical support to ensure the success of IASLC-hosted meetings and events.

Day to day, the Conference Coordinator supports registration and meeting planning administration, handles data management, provides technical coordination for event software, departmental reporting, collaborate with cross-departmental teams, support team initiatives, and contribute to organizational goals.

This nonsupervisory, exempt position is physically based in our downtown Denver, CO office on a hybrid work schedule. This position reports to the Associate Director, Conferences.

In this role, you will:

  • Administer and maintain conference registration systems, including buildout, monitoring, and customer service support.
  • Coordinate and respond to incoming meeting inquiries through the meetings inbox, ensuring timely and accurate responses.
  • Support speaker and travel award winner logistics, including contact creation, travel entitlements, visa requirements, reimbursement processing, and documentation.
  • Assist with management of event technology platforms (e.g., mobile app, abstract management systems, virtual platforms).
  • Prepare and maintain event-related reports and data for event monitoring and strategic planning.
  • Contribute to onsite logistics and material preparation, including shipping, badge preparation, signage, attendee messaging, onsite materials and supply coordination.
  • Assist with budget tracking, prepare status reports, and present updates to stakeholders throughout the event planning process.
  • Participate in documentation and refinement of departmental standard operating procedures.
  • Provide administrative support for the Conferences team, including scheduling and file organization.
  • Collaborate effectively across internal teams to ensure successful execution of meetings.
  • Deliver responsive customer service to attendees, members, and other stakeholders.
  • Travel between 1-2 times per year, as needed, to support IASLC meetings and events.
  • Actively demonstrate and support IASLC core values.
     

A successful candidate will have the following qualifications:

  • A deep commitment to the mission of the IASLC and compassion for those living with a lung cancer diagnosis.
  • Bachelor’s degree or equivalent work experience in event coordination or administrative support.
  • One to Two (1-2) years of relevant experience in event or meeting logistics.
  • Strong organizational and time management skills with keen attention to detail.
  • Excellent written and verbal communication skills, with the ability to collaborate across teams.
  • Customer service-oriented mindset with proactive problem-solving skills.
  • Ability to manage multiple tasks in a fast-paced, deadline-driven environment.
  • Proficiency in Microsoft Office 365 Suite and ability to quickly learn and implement new software platforms.
  • Ability to travel domestically and internationally (1-2 times annually), as needed.
  • Multilingual fluency/literacy would be a plus.

  • Hybrid work schedule. Employees are based in our Denver office and are allowed to work remotely 2-3 days per week.
  • Compensation:  $57,000-61,000 annually, depending on related experience and education.
