Description
The Records Supervisor (SO) is responsible for performing supervisory and administrative work to plan, organize and direct the activities of the Records Unit of the Jefferson County Sheriff’s Office (JCSO). Supervise unit staff. Ensure the accuracy of data entries in required databases. Research and release criminal justice information and records as requested by law enforcement, criminal justice agencies and the general public. Work closely with the Records Section Manager to monitor unit efficiency and to ensure compliance with local, department, state and Federal policies and procedures.

Description:
- Hiring salary range for this position is $32.25/ hr. to $37.89/hr. depending on education and experience.
- Plan, organize and direct the activities of Records Unit in accordance to established policies, procedures and standards. Schedule work and approve leave. Define priorities and set unit goals. Determine effective and efficient means to accomplish required work and to appropriately share the workload.
- Use computer data entry equipment to verify and correct entries made by Records Unit staff and other JCSO work units. Determine if entries meet established standards. Determine the nature of errors and the best course of action to correct. Use management access level to seal records, validate accuracy, make corrections, convert data to meet established standards.
- Oversee the entry, modification, cancelation, and confirmation of Sheriff hot-files in NCIC/CCIC. Monitor intra- and interstate extradition process of warrant arrests for all Jefferson County agencies.
- Oversee and participate in research and provision of records and information as requested by law enforcement officials and the general public. Ensure that release of records is in compliance with statute, policies and procedures.
- Interpret unit statistics to design, edit, and disseminate reports and workload analyses. Conduct unit line inspections. Monitor and audit cash drawers.
- Serve as liaison for Records Unit at various meetings. Determine impact of topics on Records functions. Decide and communicate required course of action. Maintain supply inventory, ordering supplies, ensure office equipment functionality and maintenance.
- Supervises staff in area of responsibility. Administers and makes recommendations for routine personnel matters affecting subordinates, including recruiting, interviewing, hiring, training, assigning, scheduling, granting leave, appraisals, and taking corrective action. Conducts performance evaluations and communicates short- and long-term goals and objectives. Submits personnel records and reports as required by the County. Assists and advises subordinates as necessary, resolves problems as non-routine situations arise, and ensures adherence to established policies, procedures and standards. Communicates changes in policy and procedures to direct reports and implements them as directed.
