JOB SUMMARY

This position is responsible for administrative support for the Clerk and Recorder.

ESSENTIAL JOB FUNCTIONS

  • Serves in absence of the Clerk and Recorder. 
  • Assists the Clerk in developing strategies to support the growth and evolution of the office to meet evolving demands, changing priorities and potential challenges.
  • Assesses departmental needs to determine the necessity of resources including personnel, capital improvements, and equipment acquisition.
  • Maintains specific expertise in election laws, rules, codes and conditions of use as they relate to state, county, municipal, special district, and school district elections and voting systems.
  • Verifies and approves time cards to payroll; approves leave requests.
  • Implements security procedures and protocols including password management protocols, chains of custody protocols, tamper evident seals for election equipment and vital records, surveillance monitoring, etc.
  • Assists customers at the counter, by telephone and by correspondence, by providing specific, complete and accurate information. 
  • Verifies motor vehicle titles printed for accuracy and completeness. 
  • Responsible for the records and accuracy of public notices. 
  • Monitors post office pre-paid account and the office's petty cash fund. 
  • Proofs, organizes, indexes, files and tapes BOCC Meetings; makes copies when requested by customers. 
  • Makes daily deposits to the Treasurer's office. 
  • Receives and maintains records for Birth and Death filings. 
  • Processes liquor and medical and retail marijuana licenses and renewals. 
  • Maintains files for Fair Campaign Practices Act. 
  • Prepares correspondence for Clerk and Recorder. 
  • Balances office books daily and inputs in computer. 
  • Prepares marriage packets and issues marriage licenses. 
  • Attends seminars and meetings as needed. 
  • Cross trains with others in department and performs duties as needed. 
  • Performs other related job duties as assigned. 

Qualifications

High school diploma or general education diploma (GED); and one (1) year of related experience; or an equivalent combination of education and experience.

Special Requirements

Possession of a valid, State of Colorado driver’s license. Requirement exists at the time of hire and as a condition of continued employment. Must be a registered voter and become certified as an election official within one year of appointment. Must be able to pass a Colorado Bureau of Investigation background check and Federal Bureau of Investigation background check.
