The Citywide Destination Services Events Manager’s primary responsibility is assisting the Director of Destination Services & Events with managing, budgeting, and implementing systems and programs for the Destination Services Department of Visit Denver in accordance with industry standards, regulatory agencies, and company objectives and policies.

Job Summary:

The Citywide Destination Services Events Manager reports to the Director of Destination Services & Events. The Citywide Destination Services Events Manager’s primary responsibility is assisting the Director of Destination Services & Events with managing, budgeting, and implementing systems and programs for the Destination Services Department of Visit Denver in accordance with industry standards, regulatory agencies, and company objectives and policies.

The Citywide Destination Services Events Manager’s is also responsible for servicing designated convention groups and assigned industry/community events while providing support and services to the Convention Sales Department. In addition, this role will assist with special projects and committee work as needed. The Citywide Destination Services Events Manager will conduct business in and away from the office.

Supervisory Responsibilities:

  • Manage Destination Services assistant (1) and coordinators (2).
  • Plan, assign, and direct work for assistant and coordinators.
  • Build strong teamwork and foster a positive team environment.
  • Conduct regular one-on-one meetings and performance evaluations.
  • Conduct performance evaluations and provide feedback.

Duties/Responsibilities:

  • Support Visit Denver’s efforts related to Diversity, Equity, and Inclusion (DEI).
  • Assist the Director with new hire training.
  • Assist the Director with forecasting and budgeting. Develop and monitor budget and spreadsheets with estimated costs and actual reconciliation on assigned events.
  • Assist the Director with tracking definite meetings and assigning groups, including Denver Sports bookings.
  • Assist the Director with appropriate sections of the Marketing Plan.
  • Assist the Director with special projects, new programs, and processes.
  • Back-up Director with committee related or community related engagements or commitments.
  • Assist with partner workshops and presentations as necessary.
  • Attending partnership networking events and Visit Denver annual events.

Assist director with Industry conferences and events.

  • Closely work with Visit Denver project owner to define budget, theme, venues, vendors, event goals, objectives and specific implementation plans that promote organization's brand.
  • Develop Requests for Proposals (RFPs) and negotiate vendor agreements to secure the best value in terms of cost and quality, in consultation with and subject to approval by the Director of Destination Services & Events or designated Visit Denver project owner.
  • Maintains timelines and priorities of projects while communicating status updates to appropriate project owners.
  • Oversee procurement, purchasing, and contracts for event partners and venues which include but are not limited to: DMCs, special event venue, hotel, catering, A/V, production, transportation, and security.
  • Coordinate and conduct site visits as needed.
  • Develop and monitor budget and spreadsheets with estimated costs and post event reconciliation.

Service Citywide Conventions assigned by Director.

  • Maintain knowledge and status of each group's needs, commitments, housing requirements, registration needs, city information desk and follow up through entire event to include weekend and evenings, if necessary.
  • Facilitate pre-conference and post-conference meetings and final Post- Convention Reporting requirements (PCR).
  • Coordinate all site visits for assigned groups and assist department with site visits as needed.
  • Consistent communication between Chief Sales and Services Officer, Associate Director of Sales, Director of Sales, Director of Destination Services & Events, the Director of Denver Sports, and sales managers as to the status of each account.
  • Work with local committees for assigned groups and attend committee meetings as necessary.
  • Attend and/or coordinate promotional trips for assigned groups.
  • Conduct destination service presentations to groups on an as-needed basis.
  • Drive continued ROI for member companies by distributing service leads and referrals.
  • Maintain a strong working relationship with City and County of Denver departments to include, but not limited to: Downtown Denver Partnership, Office of Special Events (OSE), DOTI, and the Denver Police Department (DPD).
  • Maintaining knowledge of all marketing/promotional tools, resources, and materials available to groups.
  • Maintain excellent and consistent communication with Visit Denver departments, hospitality community, and convention center staff.
  • Maintain knowledge of present and future event facilities, hotels, and the Colorado Convention Center.
  • Attend partnership networking events and Visit Denver annual events.

  • Experience with Adobe Creative Suite and Illustrator a plus.
  • Cvent experience is a plus.
  • Broad knowledge and experience in destination services, hospitality, food and beverage, and customer service industries.
  • Positive, outgoing, and adaptable attitude.
  • Reliable, dependable, flexible, and responsive.
  • Ability to travel locally and domestically; minimal travel required.

Education and Experience:

  • A bachelor’s degree in hospitality, administration, public relations, and/or other relevant field of study is required.
  • Experience in managing a team and/or direct reports.
  • Certified Management Professional (CMP) certification is a plus.
  • Minimum six (6) years of destination services and/or hospitality experience.
  • Experience in planning organizational events both small and large scale.
  • Hotel/hospitality or CVB experience is a plus.

Physical Requirements:

  • Must be able to remain in a stationary position, such as sitting or standing, for an extended period.
  • Must be able to bend, stoop, and reach.
  • Must be able to lift a minimum of 40 pounds on an occasional basis.
