About the Position
Reporting to the Senior Operations Manager, the Operations Specialist is responsible for the coordination of the rental of event/meeting space at our Free Enterprise Center, as well as administrative support across the organization. The successful candidate is exceptionally organized, collaborates well with all departments, and possesses outstanding communication skills. This is an in-office Monday – Friday position, primarily based out of the Greenwood Village location.
Essential Duties and Responsibilities:
• Coordinate the rental of event/meeting space at the JA Free Enterprise Center, which includes prospecting, conducting tours for potential customers, executing contracts, coordinating logistics, invoicing, etc.
• Provide on-site support during rentals, including some evenings and weekends.
• Collaborate with the Development team to build relationships with rental clients, identify potential interest in JA’s mission, and strengthen existing partnerships through rental engagement.
• Oversee facility operations related to rentals:
o Maintain and stock supplies
o Coordinate schedules with other building activities
o Work with vendors to ensure the building is fully operational
• Manage parking space sales during concerts at the neighboring Fiddler’s Green Amphitheatre, including scheduling and logistics.
• Manage administrative logistics and tasks for JA Professional Development including scheduling, event logistics, updating the customer management system, managing the event software and certificate creation.
• Track expenses and manage budgets related to rentals and facility operations.
• Provide administrative support to the Development, Programs, and Operations teams, including data entry, scheduling, opening and sorting mail, preparing the daily gift acceptance log, generating and sending thank you letters, and placing office supply orders.
• Other duties as assigned
Requirements:
• Passion for JA’s mission
• At least two years of related work experience
• Exceptionally organized and detail-oriented, with ability to see tasks through to completion
• Strong writing, editing, and verbal communications skills
• Strong ability to connect with others and work collaboratively
• Ability and willingness to periodically work irregular schedules to support rentals
• Flexible and creative problem-solving skills
• Ability to identify and communicate opportunities for improved processes or procedures
• Strong time management skills and ability to multitask and manage multiple priorities simultaneously
• Self-motivated and self-directed
• Proficient with Microsoft Suite (Office, Word, Excel, Publisher and PowerPoint)
• Comfortable with database entry and general office needs
• Attend meetings and events outside of normal business hours
Physical/Other Expectations:
• Ability to occasionally move equipment (up to 50 lbs.)
• Ability to pass required background check
• Working in-person from our Greenwood Village office
