SUMMARY

The Associate Director, Trade Show & Events is responsible for leading and executing all trade show logistics in support of NCBA’s business objectives. This role ensures the event is planned and delivered on schedule, within budget, and to a high standard of quality, while overseeing exhibitor customer service and all related communications.

The position is engaged throughout the full event lifecycle—from early planning through post‑event completion—and serves as a key on‑site leader, coordinating production and day‑to‑day operations. The Associate Director manages relationships with convention suppliers and oversees the complex logistics required to deliver a seamless and successful trade show experience.

Additional responsibilities include planning and executing the Thursday Night Team event, contributing to the development and maintenance of the event website, and leading the planning, logistics, and staffing for the NCBA Neighborhood Booth.

ESSENTIAL FUNCTIONS

  • Serve as the primary point of contact for exhibitors, delivering high-quality customer support and timely communication.
  • Lead and oversee all aspects of exhibitor management, including processing applications and managing invoice and payment workflows.
  • Maintain accurate and up-to-date exhibitor, prospect, and sales data across platforms, including Expocad and Salesforce.
  • Develop, manage, and execute all exhibitor communications, ensuring clarity, consistency, and alignment with event timelines.
  • Oversee exhibitor participation logistics, including the creation and distribution of service kits, vendor forms, marketing opportunities, and operational materials.
  • Lead and execute assigned trade show initiatives and programs, including project planning, logistics, tracking, and reporting for activities such as the Exhibitor Summit and NCBA Neighborhood.
  • Manage multiple suppliers for the NCBA Trade Show, including RFP development, contract negotiation, budget oversight, and on-site vendor management.
  • Oversee designated sections of the convention website, Beef Resource Guide, Exhibitor News, and select social media communications related to the trade show.
  • Identify and implement process improvements to increase efficiency, accuracy, and service levels while reducing unnecessary steps and protocols.
  • Partner with the sponsorship team to support the sale, execution, and fulfillment of trade show sponsorships.
  • Contribute to the development of the annual trade show revenue budget and prepare forecasting and performance reports.
  • Collaborate with internal NCBA teams to support trade show objectives and NCBA booth presence.
  • Maintain organized records, timelines, and project documentation; provide on-site event support, including occasional evenings and weekends.
  • Travel as required for site visits, Exhibitor Summit, and CattleCon.
  • Perform additional duties and projects, as assigned to support broader departmental goals.
