About the organization
Small but mighty nonprofit experiencing rapid growth and is highly rated is seeking a contract virtual assistant with the potential to become a permanent member of our team. Our healthcare mission is rooted in compassion, innovation, and improving quality of life. We are seeking a creative, detail-oriented Virtual Assistant to support both our marketing and administrative functions.

Position Overview
The Virtual Assistant will play a critical role in supporting day-to-day operations and outreach efforts. The ideal candidate is organized, tech-savvy, and comfortable working independently while collaborating with team members.

Marketing & Communications

  • Coordinate and manage print and digital projects, which can include monthly eNewsletters, social media, website maintenance/updates and fundraising campaigns.
  • Develop and maintain a monthly social media content calendar with a minimum of three posts per week.
  • Create and post original social media content using Canva or similar program (graphics, captions, hashtags) across platforms (primarily Facebook, Instagram, Linked In and YouTube).
  • Design and distribute email newsletters and e-blasts using tools Bloomerang.
  • Use Buffer system to obtain approval and schedule social media posts.
  • Regularly update the website with new content, news, and program information.
  • Monitor web traffic and social engagement and recommend improvements to increase reach; provide monthly reports on traffic with interpretation.
  • Assist with the creation and management of Meta Ads (Facebook/Instagram advertising).

Administrative & Program Support

  • Maintain and update internal databases, including donor, volunteer, and patient records.
  • Support logistics and communications for special events (virtual and in-person).
  • Schedule and coordinate internal and external meetings, including agenda creation and follow-up.
  • Assist with clerical tasks such as document preparation, record keeping, and data entry.
  • Help coordinate mailings, including appeal letters and event invitations.
  • Maintain internal documentation and organizational manuals.
  • Provide administrative support for patient programming, which are multilayered projects requiring intense attention to detail and recordkeeping.
  • Assist with basic tasks related to grant research and preparation.

Qualifications

  • 3+ years of experience in an administrative, communications, or virtual support role (nonprofit experience a plus).
  • Excellent written communication and copywriting skills.
  • Bachelor’s degree
  • Familiarity with social media management, graphic design tools, email platforms, and web content systems.
  • Proficient in Microsoft Office, AirTable and Bloomerang or similar technology.
  • Self-motivated, organized, and comfortable managing multiple priorities independently.
  • Discretion and professionalism in handling sensitive information.

Compensation & Schedule

  • Contract consulting engagement 10–15 hours/week with the potential to become full time within 12 months
  • Availability for occasional on-site support preferred but not required
  • Pay is commensurate with experience with a range of $20 to $30 per hour.
