Description
St. Paul Lutheran and House for All Sinners and Saints Lutheran Churches are seeking an Office Administrator to support the pastors and to coordinate functions of the two congregations. This is a part-time, on-site position of approximately 30 hours per week.
What We Need from You:
● Provide hospitality as the main contact of the church office for all visitors and members of the congregation.
● Communication and publishing skills; document distribution, some data entry, procure office supplies, and other clerical tasks.
● Coordinate tasks with the Pastors, A/V team, vendors on the property.
● Coordinate the church calendar and building use with Cantor and Pastors.
● Identify and coordinate with the Property Team any maintenance and repairs needed.
● Background check required prior to hiring.
Duties and Responsibilities: Communications
● Create and send out communications from both congregations (emails, mailings, text message reminders)
● Manage email for both congregations (responding in a timely manner, forwarding when needed, etc.)
● Maintain active and up-to-date calendar of events for both congregations (both internal and external)
● Communicate with worship lay leaders (both) and Propers Guild (House)
● Manage phone system (St. Paul) and Google Voice (House)
● Manage directories and parishioner communication information
● Check P.O. box and distribute mail to respective recipients (House)
● Create and upload the weekly sermon podcast to website and other streaming services (Apple Podcast and Spotify) (House)
● Manage and update website (both)
● Create, distribute, and manage sign ups (handwritten and SignUpGenius) (i.e. Soup Suppers, worship volunteers, lay preaching cohort (House), Holy Week, Easter Lilies, retreats, etc.)
● Cultivate liturgical bulletins in conjunction with Cantor, Pastor(s), and Liturgy Guild (House)
● Manage social media (Facebook, Instagram, etc)
● Communicate with Synod and local news for events when needed Operations
● Deliver offerings from mail to respective congregation’s treasurer
● Coordinate set-up and tear-down of the worship space each Sunday (House)
● Work closely with the Property Committee to communicate immediate and preventative maintenance, schedule and review inspections (St. Paul’s)
● Assist the congregation in care for our grounds (watering flower beds, weeding, etc.)
● Acquire supplies (liturgical, office, food, etc.) when needed
● Manage renewals (electronic, P.O. Box, listing with the Secretary of State, etc.)
● Manage space use requests and coordinate with respective parties in a timely manner
● Other duties as assigned
Success Factors:
● Exceptional interpersonal and customer service skills; fluent Spanish is a plus
● Excellent written and verbal communication skills
● Excellent organizational skills and attention to detail Education and Experience:
● Customer service experience and liturgical knowledge strongly preferred
● Proficiency with E-mail, Microsoft Office 365 and Internet, Constant Contact and other email marketing platforms
● Minimum High School Diploma required
Salary: $22 – $30 per hour, commensurate with experience
