Job purpose

The Broadway & Cabaret Marketing Coordinator is an integral part of a fast-paced team that manages campaigns for more than 20 touring shows each year. The role provides general marketing and administrative support on a variety of projects and tasks.

As part of a larger, comprehensive in-house marketing department, the Broadway & Cabaret Marketing Coordinator will collaborate with designers, videographers, writers, digital managers and ticketing agents to initiate and implement marketing assets that drive sales. In turn, the coordinator will work directly with show producers to request approvals and implement requested changes in order to put assets in market on deadline. 

The coordinator must have exceptional organizational and project management skills in order to meet deadlines for concurrent campaigns. Individuals who function well in a high-energy, deadline-oriented environment will thrive.

 

Duties and responsibilities

  • Provide administrative support for show and subscription marketing initiatives specifically relating to direct mail, paid advertising, website and e-mail. 
  • Support marketing day-to-day operations by compiling, formatting and archiving information including campaign plans, weekly reports and materials ensuring all current materials are accessible and available to the larger marketing team
  • Create, update and monitor projects in Wrike (project management software) ensuring all campaign assets are requested, proofed and delivered by the required deadlines
  • Coordinate the distribution and tracking of media sponsor tickets.
  • Prepare and compile accurate and timely financial advertising settlements for all Broadway and Cabaret productions using advanced Excel functionality
  • Responsible for tracking all Broadway and Cabaret invoices and requesting the necessary purchase orders.
  • Pull necessary email and mailing lists from Tessitura, the DCPA’s CRM and ticketing software. 
  • Create all necessary tracking Sources in Tessitura and provide to IT for promotional offer code set-up.
  • Create and update relevant documents for UTM tracking codes for accurate Google Analytic tracking
  • Oversee install and removal of Front-of-House show signage, maintaining a detailed schedule for internal and external stakeholders.
  • Facilitate sales and customer service email requests along with required internal and external proofing ensuring all edits are made accurately prior to deployment. 
  • Provide required materials for all paid media, added value promotions to media partners including approved graphics, copy, tracking links and offers
  • Manage and host promotional tables at public events on behalf of the DCPA including a summer concert series.
  • Facilitate collateral, signage and program stuffer creation, proofing and distribution with internal and external partners. 
  • Print & compile materials for meetings/events.
  • Attend all required meetings
  • Endeavor to attend opening nights of Season shows and other programming
  • Maintain meeting notes when needed.
  • Other duties as assigned. 

 

Qualifications

  • Bachelor’s degree in marketing, advertising, arts administration, communications or business administration preferred. 
  • Minimum of 1-2 years’ experience in marketing or business administration preferred. 
  • Excellent interpersonal, communication and organizational skills. 
  • Detail oriented with the ability to multi-task and prioritize in a high-pressure environment with grace and professionalism. 
  • Proficient in Office 365 applications; Advanced knowledge of Excel.
  • Working knowledge of Wrike (or similar project management software), Tessitura (or similar ticketing software), financial and expense tracking software and Prospect2 (or similar bulk email platform)  a plus. 
  • Knowledge of, and interest in, Broadway, theatre and the performing arts preferred 
  • Work well as a part of a team and independently. 
  • This position requires working evenings and weekends as needed.
  • Must have a valid driver's license with use of personal vehicle on occasion.

 

Supervisor responsibilities

This is an entry level administrative position. This position may oversee volunteers from time-to-time but does not have a direct report. 

 

Working conditions

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

 

Physical requirements

While performing the duties of this job, the employee is regularly required to talk or listen.  The employee frequently is required to stand, walk, use hands to handle or feel; and reach with hands and arms, and occasionally lift and move boxes. The employee must be able to occasionally lift and/or move up to 25 pounds. Must be able to drive a passenger vehicle. 

 

Compensation

$56,485.00 Annually
