Food Bank of the Rockies hosts a robust program of special events and promotions, including signature fundraisers, third-party events, cause-marketing campaigns, and stewardship activities that connect stakeholders to our mission. Reporting to the Events and Promotions Manager, the Events and Promotions Specialist fosters and strengthens relationships across departments, and with corporate, event, and promotional partners, volunteers, and the local community, to execute strategic initiatives and partnerships critical to our goals. This position requires discretion and independent judgment in a high-volume, and fast-paced environment. The Events and Promotions Specialist is integral to developing and managing events and promotions that support the food bank’s mission, impact fundraising, engage donors, and contribute to overall organizational strategy.

The mission of Food Bank of the Rockies is to ignite the power of community to nourish people facing hunger. We provide food and necessities to people in need through signature programs and by teaming up with hundreds of Hunger Relief Partners to serve communities across Colorado and Wyoming. Primary Responsibilities:
Special Events: 65%
· Design and execute high-impact events, in collaboration with the Events and Promotions Manager, primarily supporting the Development Department, with occasional assistance to other teams across the organization, that reflect and advance Food Bank of the Rockies brand and cultivate prospects and donors.
· Independently oversee key event logistics, including vendor contracts, budget and timeline management, and sponsorship outreach, ensuring alignment with the mission and long-term organization goals.
· Coordinate additional event logistics including oversight of professional caterers, vendors, contracts, volunteers, and procurement of auction items, among other event production functions, ensuring smooth event execution.
· Support onsite event logistics, including but not limited to setup, breakdown, loading and unloading supplies and equipment, and arranging tables, chairs, decor, and other necessary items to ensure seamless execution and a welcoming atmosphere for attendees
· Collaborate with the Marketing & Communications team to develop and update event collateral including invitations, website updates, sponsorship decks, event advertisements, email and social media marketing, and printed materials ensuring brand consistency and effectively targeting key stakeholder groups.
· Proactively communicate with prospective and confirmed event sponsors, attendees, and donors, providing clear and timely updates, addressing inquiries, and offering personalized attention to enhance participant satisfaction and strengthen donor relationships.
· Assist in identifying, soliciting, and securing cash and in-kind event sponsorships. Negotiate and secure in-kind and cash sponsorships by assessing potential partners’ value and aligning them with organizational goals.
· Responsible for meeting and exceeding annual revenue goals related to events and promotions “in collaboration with Event and Promotions Manager”
· Lead the planning and execution of the Feeding Hope volunteer recognition celebration, in collaboration with Volunteer Relations team, making key decisions about event design, goals and outcomes.
Promotions & Third-Party Events: 25%
· Qualify, cultivate, and solicit partnerships with approximately 15–20 companies and groups, evaluating and tailoring strategies to mutually align with business objectives
· Serve as the primary liaison for external fundraising campaigns, such as Feeding America cause-marketing efforts, ensuring compliance with organizational policies and interpreting campaign results to advise internal stakeholders
· Participate in webinars, conference calls, and meetings as well as monitor electronic communications (emails, newsletters, etc.)
· Provide strategic recommendations on promotional activities to enhance campaign outcomes, exercising authority to prioritize initiatives that drive the greatest impact
· Work closely and collaboratively with the Food Sourcing team on strategy for shared promotional/food donor partners
· Serve as the third-party event liaison, assisting donors in setting up and executing successful events while providing support materials and logistical planning
· Develop, evaluate, and maintain promotions and third-party events policies and resources
Other Responsibilities: 10%
· Work closely with the Finance department to ensure compliance with all applicable regulations when handling financial or in-kind donations
· Ensure that all relevant stakeholder information and interactions are up to date and logged in the Raiser’s Edge/NXT constituent relationship management (CRM) system
· Maintain confidentiality of sensitive and privileged donor and volunteer information and protect organization operations
· Work as a cross-functional team member to promote Food Bank of the Rockies brand/message to potential donors, the community, the Board of Directors, and staff
· As needed, represent Food Bank of the Rockies at community, third party, and industry events
Required Knowledge, Skills, and Abilities:
· Commitment to fulfilling the Food Bank of the Rockies mission and positively representing the brand both internally and externally
· Knowledge of effective relationship-based fundraising techniques and practices for promotions/cause-marketing, events, and corporate partnerships
· Commitment to excellence and efficiency, with the ability to work independently and collaboratively to create solutions within a fast-paced and deadline driven environment
· Excellent organizational, time management, and follow-through skills
· Excellent written and verbal communication skills, including comfort speaking in both small group and large group settings
· Ability to exercise appropriate level of professionalism and discretion when dealing with confidential information

Required Qualifications:
Bachelor’s degree in a related field from an accredited college or university, or equivalent work experience
Three (3) years or more of fundraising and/or event planning experience preferred with an emphasis on events, promotions, and cause-marketing in a non-profit setting
Experience in Raiser’s Edge CRM or similar CRM is preferred and knowledge and experience-in peer-to-peer platform Classy highly desired
Experience in managing a committee and/or working with volunteers a plus
Proficiency using Microsoft Office Suite, especially Word, Excel, Outlook
Expected Hours of Work:
This is a full-time, exempt position. Works schedules may vary each week and consist of weekdays, evenings, and Saturdays. A flexible work schedule is available with the option to work remotely 2 days a week, and in-person 3 days a week or more often based on organizational need. Daily schedules may vary and should maintain Food Bank of the Rockiescore hours between 9am – 3pm. Travel 30% or more working in the office or off-site.
Compensation:
$57,000 – $60,000 Annually
