Job Title: Special Events Operations Manager
Department: Special Events
Classification: Exempt
Hiring Range: $83,886/annually – $94,390/annually (DOE)
Salary Range: $83,886/annually – $125,840/annually
Position Summary: Directs the operations of the City’s Special Events. Carries out the City of Aspen’s goals of a healthy and lived in community by creating and organizing events. Oversees the marketing plan for all Special Events. Consistent with the organization’s values and mission statement.
Supervision Exercised and Received: Position works under the general supervision of the Director of Special Events and Marketing. Exercises direct supervision over all Special Event Volunteers and temporary staff.

Essential Job Functions:
Administration
• Directs Special Events (special events owned and operated by the City of Aspen) in adherence with department objectives. Helps to prepare and execute Special Events work plan including goals, schedules, policies/procedures, staff deployment and similar.
• Assists in preparing and executing the Events Department budget and long-range plan.
• Represents the City of Aspen on Permit and Outreach Committee’s and at all event meetings with Pitkin County, Town of Snowmass Village and City of Aspen.
Special Events
• Plans and implements special events to promote the City of Aspen in coordination with other entities to ensure proper placement on the events calendar. Ensures proper permitting and venue approval along with all promotions of events.
• Creates and manages a budget for all special events, including but not limited to creating PO's and contracts and paying invoices in a timely manner.
• Directs employee engagement events collaboratively
• Ensures compliance of all City of Aspen departmental requirements during the implementation of special events,
• Recruits, coordinates, and trains volunteers required to support each event.
• Oversees participant registration and ensures a positive participant experience throughout each event.
• Develops and implements event safety plans in collaboration with internal departments, external partners, and public safety agencies.
• Manages and maintains all equipment necessary for special events.
• Oversight of all aspects of contracted services including staffing, vendor selection, policy, planning, scheduling, routing, budgeting, quality control, problem solving, data tracking, customer service and similar.
• Provides technical expertise for internal and external events.

Minimum Qualifications:
Education: Bachelor’s degree in Business, Public Administration, Marketing, or related field.
Experience: Three years of progressively responsible professional experience in public relations, marketing, event production, and planning and one year of supervisory experience.
Technical Knowledge: Must be proficient in the following areas: Microsoft Outlook Email, and a basic understanding of computers and online computer-based technology applications, which includes accessing web based platforms.
Licenses & Certifications: Must possess a valid Colorado Driver’s License or be able to obtain one within 30 days of start date. Must have CPR and First Aid Certification. Must be able to obtain Certificate of Achievement from FEMA in ICS 100 within six months.
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge and skills as determined by the City of Aspen may be substituted for the requirements above.
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
Position Type and Work Hours:
• Regular full time, hours may vary with workload.
• Evenings/Weekends will occasionally be required in addition to or instead of normal hours depending on department needs and special projects.

• Outdoors/Off-Site: Performs site visits to event sites, attends meetings, and conferences. May be outdoors in adverse weather conditions.
