The Events & Administrative Specialist is responsible for event management and meeting coordination and support, day-to-day execution of administrative functions, and supporting the leadership team. Reports to Chief of Staff.

Essential Functions:

  • Manages and executes the Denver South events and their respective budgets.
  • Assists with the coordination, planning, and preparation of Denver South meetings such as providing scheduling assistance and providing day-of needs (printing, IT setup and troubleshooting, catering, etc.).
  • Responsible for office IT needs such as working with the IT services provider to troubleshoot technology issues and acting as onsite support for immediate troubleshooting.
  • Responsible for general office management needs. For example, responsible for the maintenance of the office suite and the equipment, mail duty, and ordering supplies. This includes working with respective vendors on contracts, coordination, and quality of work product.
  • Provides administrative support to the leadership team as needed.
  • Maintains organizational systems and corporate documents such as, but not limited to, organizational policies & procedures, the customer relationship management system, Board meeting minutes, System for Award Management (SAM), the Share Drive, etc.
  • Welcomes visitors to the office. Fields and responds to telephone calls, email communications and requests with internal and external parties in a responsive and accurate manner.
  • Performs other duties as required and necessary to ensure the success of the organization.
  • Consistently promotes, supports, works, and acts in a manner that advances the Denver South mission, goals, and values.

Supervisory Duties:

  • None.

Knowledge, Skills, and Abilities:

  • High attention to detail and strong organizational skills are required.
  • Ability to plan, manage, and execute small to large sized agency events.
  • Ability to proficiently use, manage, and troubleshoot standard office equipment such as voice-over IP phone system, printer/copier/scanner, audio-visual (AV) equipment and other technology including Microsoft Office Suite, Zoom, Salesforce, Adobe Pro, etc.
  • Ability to balance multiple tasks within different focus areas and transition from one to another throughout the workday.
  • Ability to be responsible with confidential information and material.
  • Willingness to be personable with a variety of individuals.
  • Ability to research, evaluate, and implement new methods and techniques for operational improvement.
  • Ability to gain a thorough understanding of the organization’s various functions to support the office and team effectively and efficiently.

Education:

  • An associate degree is preferred.

Experience:

  • A minimum of three (3) years of professional experience is required.
  • The ideal candidate will have event management experience as well as experience with a variety of administrative tasks and working in a professional work environment. They will know how to leverage the necessary technologies, pivot quickly between projects, and communicate effectively to achieve efficiency.
  • An equivalent combination of education and experience may be substituted on a year for year basis.

Additional Requirements/Licenses/Certifications:

  • A valid driver’s license is preferred.
  • A driving record (MVR) and criminal history background checks will be required prior to the start of employment.

  • Work is performed mostly in an indoor office environment, requiring professional behavior and attire.
  • Position requires flexibility of scheduled work hours which may include early morning and evening hours for meetings inside and outside of the organization.

  • Ability to stand, lift, bend, walk and reach.
  • Some filing is required; it would require the ability to reach for and lift files, open filing cabinets and bend or stand on a small stool, as necessary.
  • Requires reaching with arms and hands, having good manual dexterity, using hands and fingers to operate a computer and telephone keyboard, handle or feel.
  • Ability to hear alarms/telephones/normal speaking voice.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
  • Physical effort is rarely required; however, light physical effort may be required by moving and positioning objects up to twenty pounds occasionally and / or ten pounds frequently.

Compensation and Benefits:

  • Pay Range: $32.50-$35.50 hourly plus eligible for performance bonus.
  • Expected Work Week: This could be a 0.8 FT position working 32 hours per week or a 1.0 FT position working 40 hours per week.
