Location

In this position you can expect to work on site at the City and County Building five days per week. Please note, the Mayor’s Office is not remote, and this position is an in-person role. We believe we can listen better, learn more, and act faster when we are able to build strong relationships in the same physical space. With this in mind, we do our work together in person. We value in-person interactions. Our office is not remote.

This position will support the Senior Advisor of Community Partnerships, Senior Advisor for Homelessness Resolution and Director of Strategic Initiatives in the Johnston administration.

Specifically, as the Executive Assistant III you will:

  • Manage, coordinate, and maintain calendars, daily schedules, domestic and international travel arrangements, conference calls, events, and meetings while ensuring guests who are attending meetings are greeted and offered appropriate accommodations

  • Draft professional communications, prepare spreadsheets, documents, and presentations

  • Maintain strict confidentiality of privileged and sensitive information and use a high degree of tact, diplomacy, and discretion in dealing with sensitive and confidential situations

  • Establish and maintain highly effective working relationships and communications

  • Proactively keep the executives well informed of upcoming commitments and responsibilities

  • Process documentation from Salesforce for Boards and Commissions

  • Prioritize conflicting needs, handle matters proactively, and follow through on scheduling requests/projects to successful completion, often with same-day deadlines

  • Perform a broad range of administrative tasks for the executive team

  • Serve as a liaison to facilitate communication with agency heads and citywide departments specific to the goals of the office

  • Support citywide special events as needed

  • Serve as Management Support Staff for the Emergency Operations Center as needed

  • Provide backup coverage in the front office as needed

The nature of this environment calls for other duties that may be assigned at any given time, depending upon the needs of the office and the administration.

Required Minimum Qualifications

  • Education Requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate

  • Experience Requirement: Three (3) years of administrative/secretarial experience which must include one (1) year of experience at the type and level providing support to a manager responsible for large, complex divisions or the highest-level manager of a small organization

  • Education/Experience Equivalency: Additional appropriate education may be substituted for the minimum experience requirement
